Job Description

The Sales Operations Administrator plays a crucial role in supporting and optimizing the sales processes within our organization. They are the glue that keeps the team together as well as the fuel that drives our new business engine. They need to know where everything is at all times and what comes next and who is responsible. They have to keep everyone focused and work directly with the senior leadership team to ensure deadlines are met. :.:

  1. Manage the sales process from the first initial BANT call to close.  There are many steps and milestones that will need to be completed & collaborated on to deliver new business wins.  The most critical are:

    1. Calendar meetings with internal teams and prospects

    2. Detailed follow-up and next steps: clear written and verbal communications to ensure everyone in the process knows exactly what they owe, and when

    3. Elevate SR leadership: help to create shell templates and documents with prescribed ownership of specific areas.  Find areas where we can alleviate the team from day-to-day tasks and spend the majority of time focused on big-picture thinking and solutions

    4. Proactive: anticipate the needs of the prospect and internal teams, to help communicate, organize, and focus teams to meet deadlines from many time-stretched individuals

    5. EXTREMELY detail oriented: everything we commit to, is clear, documented, and owned by someone on the team and will help to ensure this high level of professionalism is delivered

    6. Systems: help to enter, clean, and maintain our revenue systems, most importantly HubSpot and 6sense.  Help us prioritize our focus and next steps to create velocity

    7. Organize folders, repositories, and areas for documentation, in Google Drive, such that it creates scale, for example, RFP repository tagged for easy search.

    8. Documennew steps as processes evolve; help the team document, share, and train as appropriate.

Responsibilities

  • Consistently maintain CRM records in HubSpot to ensure up-to-date deal status and pertinent information

  • Maintain, develop, and provide detailed reporting on deal flow on a weekly/monthly basis for the leadership team, both on a standardized and ad hoc basis

  • Own scheduling and follow-up cadence for all open opportunities

  • Work closely with cross-functional teams (creative, strategy, analytics, CS, media, etc) to ensure deals are scoped accurately and within budget

  • Own the development of deal opportunity schedules in conjunction with the pitch team.

  • Coordinates or leads efforts with the pitch team to ensure accuracy and quality of deliverables.

  • Obtains proper sign-off before SOW is sent to the prospect

  • Consistently follow sales process protocols to support downstream onboarding of new clients

  • Possess minute-by-minute knowledge of all work-in-progress

  • Help refine the messaging and positioning of BOL to best support sales.

  • Present and deliver educational information to potential clients to close sales

  • Develop and maintain relationships with prospects at appropriate levels

  • Prepares well-organized, clear, and concise communications.

  • Coordinates or directs third-party vendor services when relevant

  • Occasionally participate in outside sales efforts during events to promote our products and engage with potential customers

Skills

  • Project Management: ability to manage multi-step waterfall projects within a large group

  • Sales communication skills: ability to help align, communicate, and keep active prospects advancing in the sales process.  Note this is NOT a sales role (with quota, etc.)

  • Advanced PowerPoint/Google Slides Experience

  • Demonstrated experience and proficiency with spreadsheets, and CRM tools. 

  • Ability to creatively seek information to improve processes and find solutions to business questions and issues

  • General understanding of business metrics and data

  • Proven initiative (self-starter) and responsibility demonstrated through prior work experience

  • Excellent communication skills – verbal, written, and presentation

  • Ability to handle multiple tasks to meet deadlines and work in a fast-paced environment

  • Strong problem-solving skills 

Qualifications

  • Bachelor's degree or equivalent combination of education and experience

  • 3+ years of sales, sales operations, or sales support experience

  • Excellent interpersonal skills; ability to articulate verbally and written, willingness to appropriately debate difficult issues; ability to think quickly

  • Ability to excel in a fast-growing/fast-paced environment delivering accuracy while managing deadlines where adaptability is imperative

  • Ability to understand broader business and financial issues, juggle multiple projects and tasks, and work with deadlines in a fast-paced environment

  • Strong Sales Operations experience
