Founded in 2003, GiGi’s Playhouse Inc.’s mission is to change the way the world views Down syndrome through national campaigns, educational programs, and by empowering individuals with Down syndrome, their families, and the community. All programs are free and are therapeutic in natures. Each one of our programs is designed to work on specific skill development, including speech and language, literacy, socialization, and fine and gross motor skills. GiGi’s Playhouse currently has 46 locations across North America with new Playhouses opening annually.

Job Description

The Program and Volunteer Coordinator is the key member of GiGi’s Playhouse by supporting and overseeing signature programs and volunteer management. The Coordinator role ensures all programs operate efficiently and maximize impact to participants following the standards of practice. Volunteer management involves recruiting, training and organizing volunteers to fulfill Playhouse needs. All staff members are the face of GiGi’s Playhouse and have an essential role in representing GiGi’s to families, volunteers, donors and community members.

Hours: Part-time (24 hours per week),Wed 9a-3p, Thurs 11a-5p, Fri 11a-5p, Sat 9a-3p, occasional need to be flexible with hours for events/fundraisers.

Reports To: Site Manager and/or President/Vice President of the GiGi’s Playhouse Las Vegas Board of Directors

Minimum Qualifications

  1. Experience working in education (preferably infant through teen years).
  2. Success with recruiting, scheduling and managing high volume of volunteers.
  3. Effective and professional communication skills (oral, written, email and phone).
  4. Proficient computer and technology skills.
  5. Demonstrated leadership, time management and organizational skills.
  6. Ability to problem-solve, be creative, open-minded, resourceful and flexible.
  7. Successfully complete the required background checks.

Preferred Qualifications:

  1. Bachelor’s degree in education
  2. Experience with special needs populations
  3. Familiarity with GiGi’s Playhouse Las Vegas signature programming

Essential Job Functions

  1. Plan and Implement Therapeutic and Signature Programs at the Playhouse
    1. Follow established National standards of operation for current programs offered.
    2. Engage with families to build positive relationships and increase participation.
    3. Responds to program related phone calls, emails and inquires in a timely professional manner.
    4. Periodically attend programs and to provide feedback to Program Leaders.
    5. Obtain family feedback and develop programs to best serve our families.
  2. Serve as the primary liaison for all Program Leaders:
    1. Provide Program Leader training.
    2. Contact Program Leader before each program session to confirm the schedule, maintain engagement, and ensure supports needed to carry out outcome-driven programs are available.
    3. Review Program Lesson Plans prior to implementation to ensure they meet the GiGi’s quality markers and programming guidelines.
    4. Review Program Reports following each program session and follow up with Program Leaders to address challenges, successes, and feedback for future programs.
  3. Volunteer Management
    1. Participate in community events for volunteer recruitment.
    2. Orientate, onboard, and train volunteers.
    3. Create and manage volunteer database for scheduling and assigning volunteers for Playhouse operations.
    4. Respond to volunteer related phone calls, emails and inquires in a timely professional manner.
    5. Communicate volunteer placement to key Playhouse leaders regarding committees, programming, and special events.
    6. Coordinate and schedule any additional volunteer trainings and provide on-going training as needed.
  4. Recruit through community engagement
    1. Collaborate with Site Manager to promote GiGi’s Playhouse mission in our community.
    2. Attend and assist with Playhouse fundraisers (Walk, Gala, Golf, etc.)
  5. Computer Skills
    1. Proficiency in Microsoft Office (Word, Excel, PowerPoint, Publisher and Outlook)
    2. Detail orientated in a database program (Salesforce) to manage program participation, program outcomes and volunteer demographic (availability and interests). 
    3. Maintain and file participation waivers and volunteer paperwork as required.
  6. Oversee Playhouse program and family events schedule.
  7. Coordinate recognition events for Playhouse Program Leaders and Volunteers (minimum two times per year).
  8. Participate in focus groups, parent meetings, and continued education training.
  9. Communicate with Site Manager, Education Coordinator, Committee Chairs, and President/Vice President to ensure successful program delivery and volunteer needs are fulfilled.
