Operations Assistant

Job Description

 

The Operations Assistant for the Robotics Education & Competition (REC) Foundation has energy and passion for the mission and vision of the REC Foundation. This position is primarily responsible for assisting in all aspects of the Operations Department, supporting the Greenville office functions, serve as the primary point of contact for all shipments and warehouse related items, and assist with traveling workshops.

 


 

Responsibilities

  • Serve as the REC Foundation’s driver and setup personnel for traveling workshops, this includes but is not limited to driving the REC Foundation’s company truck and trailer to various locations throughout the US

  • Assist with event setup as necessary, this includes, but is not limited to, general event setup and field setup

  • Maintain the REC Foundation trailer, this includes, but is not limited, general trailer system organization and management, packing and unpacking the trailer, and inventory maintenance of all trailer items

  • Maintain all office inventories by managing inventory systems and monitoring inventory levels
  • Manage all incoming and outbound shipments including but not limited to securely packaging and labeling outgoing shipments, receiving incoming shipments, maintaining incoming and outbound shipping logs, verifying shipments, providing shipment notifications and details to recipients and/or the requestor, and handling shipping related claims with the carriers for lost or damage packages as necessary

  • Pack, compile, and assemble event materials; arrange, coordinate & verify shipping logistics. Work closely with the personnel within operations to make sure all supplies ship out within the time frame requested.

  • Purchase supplies online and in store as needed and as approved by direct manager

  • Perpetuate continual learning by maintaining a working knowledge of all REC Foundation programs, websites, software, and any other platforms utilized

  • Coordinate company vehicle maintenance and general upkeep, including but not limited to oil changes, repairs, managing company truck logs, usage, and usage requests

  • Compile expense reports for purchase reconciliation as assigned by direct manager

  • Prepares for REC Foundation supported events (set up and tear down) as assigned

  • Run official company errands as needed utilizing the company truck

  • Provide excellent customer service via phone and email support to both our staff and customers

  • General office upkeep, including but not limited to general cleaning and/or organization, kitchen/break room area cleaning and/or organization, garage/warehouse area organization and/or cleaning, maintenance, coordinate maintenance with external parties,  trash, and office space management

Additional Information

  • Starting Range: $14.00 - $18.00
  • Job Type & Status: Full Time; Hourly, Non-Exempt

  • Primary Location: Greenville, TX office

  • Schedule: 40 hours per week as set by your direct manager; standard schedule is 8:00 AM - 5:00 PM, Mon. - Fri.

    • Alternate times and/or days may also be required periodically

Requirements

  • Experience driving a Class 2 truck (ex. F-250, RAM 2500, Chevy Silverado 2500, etc.) required

  • Experience pulling flatbed and box trailers required

  • Must be able to travel 16-20 weeks, often consecutively, to support traveling workshops

  • Must be able to pass a driving background check

  • 3+ years of basic office/clerical/customer service/warehouse experience

  • Familiarity with Google Suite and Microsoft Office products

  • Excellent written and verbal skills; English fluency is required

  • Computer competency and ability to learn new programs

  • Maintain security and confidentiality of sensitive information

  • Proactive problem-solving skills that lead to innovative thinking and resolutions

  • Ability to interface on a professional level with a variety of customers (co-workers, sponsors, customers, etc.)

  • Willing to take initiative; experience as a self-starter with strong organizational and multitasking skills

  • Skilled in problem-solving, setting priorities to manage varying workloads, and proactively seeking clarification

  • Ability to lift 25+ pounds

  • Desire to provide excellent customer service to both our staff and customers

  • Valid driver’s license required

 

 


 

Travel Requirements

  • Attendance at the annual VEX Robotics World Championship for the full duration

    • Duration: 10-12 days, depending on the event configuration and your specifically assigned duties

    • Timeframe: April/May (dates vary)

    • Location: 2024 - Dallas, TX; Future Dates - TBD (the location typically changes every 4 years)

  • Willingness and ability to travel domestically (as needed and as budgets permit, 10-20% is expected)

    • This includes, but is not limited to, the REC Foundation offices in Greenville, TX,  REC Foundation events, conferences, in-person meetings, etc.
