Job Description Summary:

OPAV is seeking a Chief of Staff to support day-to-day operations and strengthen accountability across the organization. This role works closely with the CEO, department leads, and senior managers to keep priorities on track, remove operational issues, and maintain smooth workflows. The position is fully on-site to stay connected to daily activity, decisions, and team needs.

 

Responsibilities: 

The Chief of Staff is responsible for the following duties. This includes but is not limited to:

Daily Operations

  • Oversee daily operations across departments.

  • Maintain steady workflow and communication between teams.

  • Address operational issues and bottlenecks quickly.

  • Monitor schedules, workload, and deadlines.

  • Handle other tasks and projects assigned by the CEO based on company needs.

Leadership

  • Support and guide department leads.

  • Set expectations and hold teams accountable.

  • Address performance issues and coach staff.

  • Participate in hiring, development, and disciplinary decisions.

  • Strengthen internal communication and company culture.

  • Work with the CEO on priorities and long-term themes.

  • Coordinate with senior leadership on operational gaps, staffing issues, and risk areas.

  • Reduce the CEO’s daily management load so they can focus on sales, client relationships, and growth.

  • Oversee select direct reports, including transitions of roles previously managed by the CEO.

Planning & Execution

  • Set weekly and monthly operational priorities.

  • Track KPIs and adjust plans as needed.

  • Lead recurring operational check-ins.

  • Support follow-through on company goals and initiatives.

  • Partner with asset management to assess gear demand, ROI, and purchase-versus-rent decisions.

Finance & Resources

  • Partner with Finance to reduce operational waste and recurring cost overruns.

  • Review budgets and spending with senior leadership.

  • Track labor, purchasing, and resource allocation.

  • Approve daily operational expenses within assigned limits.

  • Identify cost-saving and process-improvement opportunities.

Process & Systems

  • Maintain and refine SOPs.

  • Strengthen internal workflows and communication loops.

  • Identify and fix gaps that slow down projects or create confusion.

  • Push stalled items forward and move information efficiently between teams.

  • Support compliance with company policies and guidelines.

Increasing Efficiencies

  • Identify repetitive or manual work and streamline workflows.

  • Improve scheduling practices and long-range planning.

  • Implement simple, repeatable systems that stick.

  • Coordinate process updates across Sales, Production, Operations, and Finance/Admin.

  • Keep departments aligned and prevent siloed operations.

Customer & Project Support

  • Respond to client escalations as needed.

  • Support project teams during peak workload periods.

  • Maintain service quality standards across projects.

  • Review high-level show prep, gear readiness, staffing plans, and warehouse flow to catch red flags early.

  • Not assigned to shows; no travel or hands-on production work beyond past training.

  • Participate in post-event reviews to address recurring issues.

Office Leadership

  • Maintain a daily on-site presence.

  • Support front-of-house operations.

  • Provide consistent, visible leadership for employees.

  • Serve as the daily point of contact for decisions and operational issues.

Qualifications 

  • Bachelor’s degree preferred (Business Administration, Finance, Operations, or related)

  • 5–10 years of management or operations experience with supervisory duties

  • 5–10 years of AV industry experience

  • Proven experience leading teams or departments with a record of improving efficiency or supporting growth

  • Operations or HR background helpful

 

Compensation: 

$85,000 – $115,000 annually
