Job Overview 

The Executive Coordinator and Assistant position consists of business administrative and support functions.  This individual will work closely with the Chief Executive Officer and Chief Solutions Officer and assist in daily functions as directed.  This person will generally work 8a to 5p, Monday through Friday.  Remote work is available when the CEO is traveling.  Sometimes, overtime is required.  This is a full-time, salaried position with excellent benefits include medical, dental, vision, disability and life insurance, 401k matching and wellness benefit. 

Responsibilities 

  • Coordinate complex travel arrangements and itineraries on behalf of the CEO and other C-Level staff 

  • Manage CEO’s calendar, scheduling of meetings, reviews and events as well as that of other C-Level staff as needed 

  • Provide executive support for events and client interactions and act as the first point of contact for the CEO and CSO as necessary 

  • Liaison with internal and external stakeholders to optimize business processes across the complete business portfolio consisting of multiple companies  

  • Handle incoming and outgoing corporate correspondence for CEO’s complete business portfolio  

  • Coordinate with Accounting on business expense reimbursements and other financial matters 

  • Process incoming mail and deposit checks as necessary 

  • Take notes and record meeting minutes as directed 

  • Manage event planning and hospitality support, onsite as needed 

  • Manage business contact records 

  • Help maintain effective filing systems (both digital and physical) 

  • Ensure business accounts remain current and keep a current log of log-in credentials 

  • Prepare, proofread, edit and/or format C level external and internal communications, spreadsheets and presentations 

  • Maintain the highest level of discretion and confidentiality 

  • Work on special projects  

  • Other duties and errands as assigned    

Qualifications  

  • Proven experience working as a C-level Executive Coordinator and Assistant  

  • Proficient in computer technology including Microsoft Office and G Suite applications 

  • Excellent verbal and written communication skills 

  • Strong customer service and social skills 

  • Ability to quickly learn and anticipate the needs of CEO and CSO 

  • Critical Thinking Skills 

  • Exceptional organizational and time-management skills 

  • Excellent prioritization skills 

  • Follows instructions clearly and accurately within a timely fashion
