Vant4ge, Persevere and Banyan Labs are three independent small businesses that share a common mission of giving hope to people who have become involved in local, state, or federal justice systems.  

Vant4ge is a software developer providing an online community of care that enables agencies to connect, coordinate and track all those who are involved in the correctional/rehabilitative life cycle, including those with the most stake (the justice involved youth or adult, him/herself). Our technology seeks to empower all involved to assess, assign and encourage completion of treatment plans that will improve success in the community. We enjoy knowing our software at the end of the day is being used to help people.

Persevere is a national 501(c)3 non-profit organization committed to decreasing recidivism and increasing successful reentry and transition for men and women involved in the criminal justice system.  Persevere offers a customizable, comprehensive program for criminal-justice involved individuals to develop meaningful job skills and gain successful access to the labor market.  These services include software coding classes; job readiness and employability instruction, including life skills and financial education; work experience; job search and job placement; entrepreneurship training; and for some, a residential transition program.

Job Overview

This is a crucial position within the family of companies, responsible for handling most of the day to day accounting functions.  A successful Small Business Controller will be extremely detail oriented and able to multitask on many projects.  In addition, this individual must be process focused, capable of identifying improvement opportunities and driving change.  Non-profit experience is required.

 

Responsibilities

State and Federal Grants

Develop written procedures for each funding agency invoice and keep documentation up to date with changes in invoice processes made by the funding agent.  Prepare and maintain all federal grant invoices and submit change orders to granting agencies as needed.

 

Registrations, Licenses, Fees and Taxes

Process excise tax payments and business fees.  Maintain QuickBooks Online company data.  Prepare financial information for tax returns and 990.

 

Client, Vendor and Subcontractor Management

Create and maintain client, vendor, and subcontractor records including contract terms and contact information in QuickBooks and in cloud-based file systems.  Maintain and update W-9 records.  Issue 1099’s.

 

Commission Schedules and Payroll

Manage commission schedules for Sales and Independent Contractors. Enter payroll information into QuickBooks Online.  Allocate payroll to funding sources (grant/contract) in accordance with grant budgets, to regions/locations/departments in accordance with the Cost Allocation Plan and make sure allocations are supported by timesheets.  Maintain a list of positions per grant or department to ensure the appropriate employee allocation.

 

Accounts Receivable and Accounts Payable

Process AP to ensure proper approval is obtained, transactions are coded to funding sources in accordance with grant budgets, allocated to regions/location or department in accordance with the Cost Allocation Plan and documentation is attached to transactions in QuickBooks Online.   Manage employee reimbursements.  Maintain a billing schedule for AR invoicing and deferred revenue tracking and steward AR approvals. 

 

Reconciliations

Reconcile checking, savings and credit accounts as well as the Chart of Accounts..  Maintain fixed asset schedules, calculate depreciation and record depreciation monthly based on a periodic inventory of fixed assets.  Prepare monthly accruals.   Process Month End Close including journal entries.

 

Financial Reporting

Develop and monitor business performance metrics to provide management with information vital to the decision-making process.  Prepare monthly financial reports for management.  Prepare the Investor Status Report.   Support the management team in RFP responses and Grant proposals.

 

Budgeting

Assist in developing budgets for new grants/contracts to ensure the budget will fully cover all expenses necessary to fulfill the plan.  Prepare budgets, track performance and report results.

 

Forecasting

Maintain cash flow on a weekly basis, forecasting cash in and out for a minimum of 13 weeks and computing cash run-out dates.

 

Auditing and Compliance

Coordinate activities of external auditors.  Perform regulatory reporting.  Improve accounting and internal control systems.

 

Leadership

Create new processes to improve financial accuracy and efficiency.  Train and retain skilled accounting staff as needed.   Keep a high level of confidentiality.

Other duties as assigned.

Qualifications

  • Bachelor’s degree in accounting, CPA highly desirable

  • Fundamental knowledge of GAAP

  • 3+ years experience with small business accounting 

  • Nonprofit experience required and additional for-profit experience preferred

  • Experience with QuickBooks Online

  • Proven focus on process improvement

  • Strong organizational and problem solving skills

  • Strong verbal and written communication skills
