About the Position:

The Executive Assistant will provide high-level administrative support to the President of Runway and, on an as-needed basis, other senior executives within the organization. This role will ensure the smooth and efficient operation of the President’s day-to-day by managing calendars, preparing and coordinating materials, facilitating internal and external communication, and handling confidential information with the utmost discretion. The Executive Assistant will provide support spanning areas of real estate development, asset management, investment, outdoor recreation, and hospitality.  

This is a salaried, exempt position.  

The ideal candidate should have standard workday availability with flexibility to adjust based on business demands.  This is an in-office position.

Key Responsibilities

  1. Executive Support

    • Manage and optimize the President’s daily calendar, including scheduling meetings, coordinating travel arrangements, and ensuring timely follow-up on all commitments.

    • Anticipate the President’s needs by proactively handling correspondence, drafting communications, and preparing briefing materials.

    • Serve as a point of contact between the President, the broader leadership team, external partners, and other key stakeholders.

  2. Meeting & Event Coordination

    • Organize internal and external meetings, including coordinating logistics (venue, catering, technology), preparing agendas, and distributing relevant documentation.

    • Attend meetings (as requested) to take minutes, capture action items, and ensure timely follow-through on deliverables.

    • Support planning and execution of executive-level events, roadshows, conferences, and presentations.

  3. Information & Communication Management

    • Draft, proofread, and edit executive-level documents, reports, presentations, and correspondence.

    • Maintain and organize files and records, ensuring strict confidentiality of sensitive information.

    • Compile data and perform research to support initiatives and decision-making.

  4. Cross-Functional Collaboration

    • Coordinate with key internal teams (Finance, Development, Operations, Marketing, etc.) to gather information, align on priorities, and facilitate seamless communication on behalf of the President.

    • Act as a liaison for the President in communications with the CEO’s office, Senior Leadership Team, and external partners, fostering strong relationships and ensuring alignment on goals.

  5. Project Coordination

    • Support the President and other executives in tracking and managing strategic initiatives and special projects, ensuring milestones and deadlines are met.

    • Create and maintain project plans or status reports, bringing attention to potential issues or delays and proposing solutions.

  6. Administrative Excellence

    • Prepare expense reports, handle invoice processing, and oversee budget-related administrative tasks.

    • Manage incoming calls, emails, and correspondence, prioritizing and responding on behalf of the President when appropriate.

    • Develop and maintain efficient systems to ensure a high level of organization and responsiveness.

  7. Support for Other Executives

    • Provide administrative support to other members of the executive leadership team on a project or ad-hoc basis, ensuring consistent service and attention to detail.

    • Step in to cover other senior leaders’ administrative needs (scheduling, travel, documentation) during peak periods or when they are short-staffed.

Qualifications & Skills
Education & Experience

    • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
    • 5+ years of executive assistant experience, supporting C-level or senior executives (or equivalent combination of education and experience).
    • Experience within real estate, finance, hospitality, or investment environments is a plus.

Technical & Professional Skills

    • Proficient with Google Workspace, Microsoft Office Suite and other cloud-based collaboration tools (e.g., SharePoint, Teams, Zoom).
    • Exceptional written and verbal communication skills; able to draft clear and compelling correspondence.
    • Strong organizational, time management, and multi-tasking skills, with meticulous attention to detail.

    • Outstanding interpersonal skills, with the ability to build effective relationships and foster collaboration across diverse teams.
