About the Position:
The Office Manager at Runway Group, LLC will be responsible for ensuring the smooth and efficient day-to-day operations of our office. This individual will handle a wide range of tasks—from managing vendor relationships and facilities, to overseeing office equipment, inventory, and guest relations. They will also provide as-needed support to our Shared Services department, which includes Accounting, HR, and IT.
The ideal candidate should have weekday availability from 7:00 a.m. to 3:00 p.m., with flexibility to adjust based on business demands.
Responsibilities:
Office & Facilities Management
- Oversee the upkeep, maintenance, and cleanliness of the office and common areas.
- Coordinate with property management and relevant vendors to address any facility-related issues (e.g., repairs, cleaning services, and security).
- Maintain office supplies inventory, ensuring that essential materials (e.g., stationery, kitchen supplies) are adequately stocked.
- Manage office layout, furniture, equipment, and seating assignments to optimize space utilization and comfort.
Schedule & Space Management
- Manage calendar scheduling across multiple executives and departments, including coordinating with external partners and handling time-sensitive requests
- Schedule and coordinate logistics for internal and external meetings, including room bookings, video conferencing setup, and catering when needed
- Monitor and manage competing conference room priorities, ensuring seamless operations
- Handle scheduling requests with appropriate confidentiality and professional discretion
Vendor Management
- Identify, select, and manage relationships with vendors and service providers (e.g., office supply companies, cleaning services, horticulture vendors, etc.).
- Manage vendor contracts, invoicing and payments in collaboration with the accounting team.
- Regularly evaluate vendor performance and maintain a cost-effective, high-quality vendor network.
Office Equipment Maintenance & Inventory
- Partner with IT in the purchase, installation, and upkeep of office equipment (e.g., printers, scanners, phone systems, audio/video conference
systems). - Maintain an accurate inventory of hardware and supplies to ensure availability and functionality.
- Troubleshoot minor technical issues or coordinate with the IT team for more complex problems.
Guest Relations & Front Desk Operations
- Serve as the first point of contact for all visitors, clients, and vendors; provide a warm, welcoming and professional environment
- Manage incoming and outgoing mail, shipments, and deliveries
- Maintain and oversee inventory of office and kitchen supplies, ensuring adequate stocking while adhering to budget guidelines
- Provide comprehensive executive support including coordinating meal deliveries and managing errands with discretion and efficiency
Shared Services Support (Accounting, HR, and IT)
- Collaborate with Accounting on AP invoice processing.
- Partner with HR to coordinate employee onboarding, reporting, training logistics, and office-related compliance.
- Assist the IT department with equipment requests, user access administration, and minor troubleshooting or coordination.
Process Improvement & Compliance
- Develop and implement office procedures and best practices to optimize efficiency.
- Ensure compliance with company policies, safety regulations, and any relevant local, state, or federal requirements.
- Stay updated on industry trends and tools that could enhance office management.
Other Responsibilities
- Assist in organizing off-site meetings or retreats, including venue research, scheduling, travel arrangements, and related logistics.
- Assist in planning and coordinate company events—including holiday parties, team happy hours, and outings—to foster engagement, collaboration, and a positive workplace culture.
Qualifications:
- Experience: 3+ years of office management or administrative experience preferably in a team environment.
- Education: Bachelor’s degree in business administration, management, or a related field is preferred; equivalent work experience will be
considered. - Technical Proficiency: Comfortable learning various different online platforms (Maintenance, Accounting, HR, etc.); Well-versed in Word, Excel,
PowerPoint, Outlook; Conferencing tools (e.g., Zoom, Microsoft Teams). - Communication & Interpersonal Skills: Excellent written and verbal communication skills; ability to build rapport with a diverse group of
stakeholders. - Organizational Skills: Demonstrated ability to prioritize, multitask, and manage time effectively in a dynamic environment.
- Problem-Solving: Proactive approach to identifying and resolving issues before they escalate.
- Team Player: Willingness to work collaboratively across multiple departments and adapt to shifting priorities.

- Lifting & Carrying: Ability to lift and carry items such as supplies or packages; occasionally push or pull objects up to 50 lbs.
- Extended Periods of Activity: Comfortable performing tasks requiring repetitive movements—such as researching, typing, printing, or handling files—for extended periods.
- Visual & Auditory Requirements: Sufficient clarity of speech and hearing, as well as sight, to interact with co-workers, vendors, and guests effectively and to perform computer-based tasks.
