Boys & Girls Clubs of the Peninsula (BGCP) proudly stands as the largest expanded learning provider in San Mateo County, dedicated to empowering 5,400 TK-College students across 29 sites from East Palo Alto to Daly City. POSITION OVERVIEW
As an integral part of the Future Grads team, the Operations Manager – Future Grads will be responsible for project management of key events and successful outcomes across various initiatives. The operations manager role involves managing logistics, coordinating communications and overseeing data and administrative tasks. This role will report to the Future Grads High School Director.
ROLES & RESPONSIBILITIES

Operational Event Support: Serve as a project manager or key contributor on cross-departmental projects, ensuring financial and operational perspectives are considered in project planning and execution. Assist with High School Future Grads events including Fall Socials, team retreats, Winter Social, Personal Narrative Writing events, Summer Academies, and Postsecondary Retreat. Responsibilities include ordering materials and food, coordinating volunteer communication, and providing operational support for event execution.

Program Management: Manages timeline, leads debriefs, and analyzes exit ticket data for all college tour trips. The operations manager leads our annual BGCP graduation events throughout the county with input from program managers and directors.

Future Grads Data & Program Enrollment Management: Create and manage High School cohort rosters and trackers for attendance and calls. Owns and handles all high school enrollment year-round including large student event attendance input into Salesforce. Creates and helps administer any google form surveys for data collection or reports.

Operational Program Support: Responsible for general student volunteer coach communication, including monthly recaps, reminders, and newsletters for trainings and program activities. This role involves creating and updating coach resources, handling Crew Leader payments, and coordinating high school purchases and supplies throughout the year. Additionally, it ensures that all Future Grads supply cabinets are stocked with necessary materials and snacks for programming.

Administrative Support: This role involves maintaining and archiving Google Shared Drives for both North and South County throughout the year, reconciling high school program credit cards, taking notes and providing general support for HSPS meetings, and managing the HSPS calendar, including site plans and Outlook updates.
QUALIFICATIONS

Exceptional communication, organizational, and collaboration skills.

Bachelor’s Degree preferred, or equivalent experience.

Prior experience in project management or operations.

Proven track record of successfully managing multiple projects or programs simultaneously.

Ability to streamline processes and improve operational efficiency.

Excellent written and verbal communication skills for interacting with staff, students, and external partners.

Experience in maintaining records, databases, drafting reports, proposals, and operational plans.

Strong ability to prioritize tasks, manage time effectively, and maintain attention to detail.

Ability to think critically and resolve issues quickly and effectively.

Proficient with Microsoft Suite and Google Suite (Drive, Docs, Sheets, etc.) and other project management tools.

Ability to adapt to changing needs and environments within the program.

Ability to work occasional evenings and/or weekends as needed for program events.

Ability to travel across our sites in San Mateo County (East Palo Alto, Menlo Park, Redwood City, South San Francisco, Daly City).
LOCATION
Menlo Park, CA (Travel throughout the Peninsula required)
WORK SCHEDULE
Monday - Friday, 10am – 6pm (Hybrid, depending on business needs)

SALARY & BENEFITS

Employment Status: Full-Time Salary

Pay Range: $66,560 - $70,000, depending on experience (DOE)
