Boys & Girls Clubs of the Peninsula (BGCP) proudly stands as the largest expanded learning provider in San Mateo County, dedicated to empowering 5,400 TK-College students across 29 sites from East Palo Alto to Daly City. POSITION OVERVIEW
The Volunteer Assistant will play a pivotal role in supporting our volunteer team and ensuring the smooth execution of our events. Reporting to the Director of Community Engagement, this position requires a high level of attention to detail and effective communication skills, both in-person and online. You will be responsible for various tasks including event preparation and support, administrative duties related to volunteer management, and volunteer compliance.
ROLES & RESPONSIBILITIES
Event Support:

Assist with volunteer event preparation, including ordering supplies and creating pre-event materials.

Organize and inventory materials prior to events and get all needed materials to event locations.

Provide on-site support during events, including setting up, signing in volunteers, guiding them to their locations, taking photos and cleaning up.

Replenish supplies as needed and ensure volunteers are positioned where they are most needed.
Administrative Support:

Support in managing our volunteer platform.

Send event reminders and follow-up emails to volunteers.

Maintain a centralized repository for volunteer photos.

Create and maintain a centralized calendar for program events and update consistently.

Support data management related to volunteer activities and inquiries.

Manage the volunteer inbox, addressing program support inquiries and ensuring timely responses.
People Operations Support:

Collaborate with the People Operations team to ensure all volunteers complete necessary compliance requirements and maintain up-to-date records.

Review volunteer status on a weekly and monthly basis to ensure compliance.

QUALIFICATIONS

Exceptional attention to detail and organizational skills.

Excellent verbal and written communication skills, with the ability to engage effectively in person and online.

Strong customer service orientation.

Proficiency in administrative software, including VolunteerHub (VHub) and SmugMug, or the ability to quickly learn these platforms.

Previous experience in event support or volunteer management is a plus.

Ability to work independently and as part of a team.

Flexible and adaptable to changing priorities and tasks.
Physical Requirements and Work Environment
The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting (up to 40 pounds), carrying, pushing, and/or pulling; some climbing and balancing; some stooping, kneeling, bending at the waist, reaching overhead, crouching, squating, and/or crawling; and significant fine finger dexterity. Generally the job requires 80% sitting, 20% walking & standing. Work environment noise level is usually moderate, but can be noisy at times. All requirements are subject to reasonable accommodations.
LOCATION
Menlo Park Office, Hybrid
WORK SCHEDULE
Monday - Friday, 9 am - 6 pm (with occasional evening and weekend events)
SALARY & BENEFITS

Employment Status: Full-Time, Salary Exempt

Pay Range: $66,560 - $71,560, depending on experience (DOE)
