PURPOSE OF THE JOB:

The Project Coordinator is responsible for overseeing all communications projects at Northview Church, ensuring they align with organizational goals and adhere to brand standards. Acting as a liaison between the communications team and other departments and campuses, this role facilitates smooth project flow and effective communication. Key responsibilities include inputting submitted projects, creating and managing project workflows, and guiding projects from conception to completion, all while ensuring timely and efficient execution. This full-time, exempt position reports directly to the Communications Director.

ESSENTIAL DUTIES:

  • Give ministry away
  • Manage project workflows using Asana and the Rock platforms
  • Provide regular updates and reports to Communications Director and ministry or campus leaders
  • Review and ensure the accuracy of project deliverables, including copy, graphics, videos, etc.
  • Ensure that all content and deliverables adhere to the organizations brand guidelines and communication standards.
  • Help develop and refine communication tools, workflows, and processes to ensure efficiency.
  • Oversee the ordering and distribution of project deliverables for ministries and the communications team
  • Produce and Manage an Events and Projects calendar for the Communications Team
  • Oversee the communications section of the Communications and Worship Planning Sheet
  • Maintain an excellent relationship with all vendors and media contacts for Northview Church
  • Schedule and attend vision meetings 
  • Check in regularly with members of the Communications Team to track their progress for project responsibilities and provide accountability for pace, excellence, and timely completion
  • Provide additional administrative support for the Communications Director as needed
  • Oversee recruitment and onboarding for all Communications Team volunteers


Daily Duties:

  • Review and update project timelines and task lists
  • Communicate with team members and stakeholders to ensure tasks are on track
  • Assign Tasks to the appropriate team members and monitor progress
  • Troubleshoot issues or obstacles that arise in the project workflow
  • Ensure that communication deliverables (email, social posts, etc.) meet quality standards and deadlines
  • Respond to emails and voicemails within 24 hours on workdays


Weekly Duties:

  • Lead one on one project meetings to review project statuses and upcoming tasks
  • Prepare and send weekly progress reports to supervisors and stakeholders
  • Update Asana with the latest information on timelines, tasks, and resource allocation
  • Review content and materials to ensure alignment with brand guidelines before delivery
  • Assist the Communications Director with updating the Worship & Communications spreadsheet


Monthly Duties:

  • Conduct a review of ongoing and completed projects to assess performance against goals
  • Help develop and adjust communication strategies or campaigns based on analytics and feedback
  • Assist the Communications Director in reviewing and monitoring budget for Tier 1 projects to ensure that no adjustments need to be made, and we honor the allotted budget given


Quarterly Duties:

  • Assist in the planning of quarterly communication strategies and campaigns
  • Participate in quarterly team planning sessions to assess upcoming project needs and set priorities
  • Conduct quarterly reviews of processes and workflows to recommend optimizations for the next quarter

MINIMUM QUALIFICATIONS:

Associate degree plus one to three years of related experience; or equivalent combination of education and experience.  Related experience would be in project management and administrative support. Experience managing projects required. Experience in marketing, advertising or communications is a plus.
