PURPOSE OF THE JOB:

The Northview Kids Serving Coordinator’s primary responsibility is to support the Northview Kids staff in recruiting and training new Carmel Campus team members. This includes the team member recruitment process, orientation, test drives, training, and appreciation. This position is an Exempt Full-Time Salary position in the Northview Kids Ministry and reports to the Carmel Campus Northview Kids Director. This job requires weekend hours.

 

ESSENTIAL DUTIES:

Ongoing Duties:

  • Gives ministry away
  • Leads Northview Kids ministry recruitment campaigns
  • Serves as the initial contact person and source of information for potential team members serving in Northview Kids
  • Provides leadership in assimilation and follow-up of potential team members
  • Develops the strategy and system for collecting data, following up on data, meeting, and interviewing potential team members
  • Works with Northview Kids Staff to maintain and update team member orientation materials (handouts, contact information, etc.)
  • Facilitates coordination of ministry-specific brochures and other needed materials to be used for ministry recruitment
  • Provides organization and oversight for as-needed team member events (SOWO, Summer Serve, etc.)
  • Provides direction to the ways we target and assimilate team members into NV Kids through creative venues (website, Next Experience, membership)
  • Coordinates and gives leadership to NV Kids welcome team
  • Schedules Welcome Team serving roles for each service
  • Captures new family data for follow up
  • Strives to improve personal and professional skills by looking for and participating in learning opportunities
  • Shows commitment to cultural values
  • Uses their presence in the Northview Kids weekend services to encourage and appreciate Team Members

 

Daily Duties:

  • Follows up with potential team members through emails, phone calls, and face-to-face conversations
  • Responds to emails and voicemails within 24 hours

 

Weekly Duties:

  • Processes all Team Member Applications, References, and Background Checks for Carmel campus
  • Manages all Carmel Kids team members in Rock database
  • Manages all Carmel Kids team members in Planning Center
  • Signs all team member birthday cards
  • Attends Carmel Team meetings
  • Weekend follow-up: Update room assignments for kids, restock the Welcome Team cart and supplies after each weekend, follow up with Team Members who did not show up to serve or need support, submit tickets for check-in issues, etc.
  • Update volunteers on Welcome Team
  • Send reminders to the Welcome Team serving that weekend
  • Ensure New Family Welcome Packs are stocked
  • Set up and tear down check-in area for services
  • Oversee volunteer check-in
  • Troubleshoot any issues with the check-in process
  • Help area coordinators with any issues that come up during the service (texting families, holding children, check-in and check-out, etc.)

 

Monthly Duties:

  • Attends Carmel Kids Team meetings, Monthly Huddle, Best Practices meetings and pod meetings

 

Quarterly Duties:

  • Creates new campaigning ideas to reach potential team members
  • Helps Coordinators with their training and appreciation events
  • Serves at all Family Framework Carmel Kids events (FX, Baby Dedication)

 

As Needed Duties:

  • Captures Team Member Photos for the database
  • Performs related duties as assigned by manager

 

Supervisory Responsibilities:

The position does not directly supervise other employees but does work with volunteers and must have an understanding that team members are key to the ministry of the church. The employee must have a heart to recruit, train, equip and support team members in fulfilling their roles.

MINIMUM QUALIFICATIONS:

Bachelor's degree in a related field and one to three years related experience; or equivalent combination of education and experience. Related experience would be working in volunteer recruiting.
