Scratch is a creative programming language and the world’s largest online coding community for children and teens. Children around the world use Scratch and ScratchJr to create their own interactive games, stories, and animations -- and share their creations with one another. In the process, they learn to think creatively, reason systematically, and work collaboratively. Last year, more than 30+ million children and teens around the world created projects with Scratch.

Position Overview
The Project Manager for Executive Operations will partner with the Executive Director to plan, execute and manage key projects and workflows connected to the Executive Director including her internal and external communications and brand elevation, complex calendaring, and executive hiring. Serving as a change agent within the organization, this person will support and/or lead a variety of initiatives aimed at increasing organizational efficiency and effectiveness while exercising considerable independent judgment, exceptional analytical skills, and stellar communication skills. The ideal candidate has a strong operational and project management background, is well-organized, is a problem solver, can multitask with ease, and is results-driven. This role will partner with internal and external stakeholders to project manage key initiatives for the Executive Director that advance the Scratch Foundation’s mission, and will work closely with the Executive Director on a day-to-day basis to represent her on specific initiatives.
Responsibilities:
Project Management and Process Development (40%)
Cultivate and manage a master list of executive projects.
Develop project plans for selected projects to ensure the ED and stakeholders understand key objectives, communicate effectively, and execute on-time with excellence.
Create structure and focus for broad, ambiguous ideas that the Executive Director is exploring and bring forth recommendations for to move ideas into concrete activity/action plans in a timely manner.
Track project progress against organizational metrics and goals; project manage stakeholders to ensure project completion
Gather key performance indicator (KPI) data across the organization and present to the Executive Director along with proposed recommendations based on findings.
Provide ad-hoc support on projects small to large (e.g. research, modeling, internal initiatives, expansion efforts, partnerships, etc.).
Drive standardization efforts by creating formal Standard Operating Procedure (SOPs) to document processes and insights.
Maintain and optimize workflow processes to drive efficiency in planning, reporting, and communication within the team.
Executive Team Support (40%)
Oversee executive operations: prepare agendas, take notes, and assign action items, manage planning processes, support with board meeting prep.
Support the productivity of leadership meetings by partnering with team members on planning, drafting the agenda, and tracking key actions including follow-up.
Facilitate scheduling and complex calendar management on behalf of the Executive Director.
Translate discussions and thoughts from executive meetings into implementable follow-up actions.
Anticipate further needs and make recommendations to improve executive team effectiveness.
Communications (20%)
Liaise with key employees to understand challenges and priorities, summarize and communicate to the Executive Director and broader executive team.
Provide and facilitate communication and follow-up between the Executive Director and other leaders on priority issues
Support Executive Director communications and correspondence, including, but not limited to, responding to emails and drafting letters, while ensuring prompt, accurate, and appropriate responses.
In collaboration with the ED, communicate on her behalf both internally and externally
Qualifications
Passionate commitment to Scratch’s educational mission and vision.
5+ years of project management experience, including market research and analysis.
Strong analytical skills – including analysis and synthesizing of data, as well as drawing conclusions and creating recommendations based on data analysis.
Demonstrated ability to be entrepreneurial and a self-starter.
Ability to multitask and understand how to prioritize tasks based on importance vs. immediacy.
Ability to collect and analyze data from multiple points from inside and outside the organization.
Knowledge of business operations and corporate development and strategy.
3+ years of experience supporting an executive or executive team. Ability to work well with executives, and able to lead and influence across multiple levels and functions of an organization.
Comfortable working in time-sensitive and rapidly evolving situations.
High tolerance for ambiguity and complexity, while being efficient with limited resources.
Mature judgment and discretion in keeping sensitive information confidential.
Excellent oral and written communication skills, including basic copywriting skills.
Advanced understanding of MS PowerPoint, Excel, and Word (or equivalent) to develop executive presentations and documents.
Able to stand and lift 25 pounds

Candidates for this position must be in the metro Boston area. Occasional travel to support in-person events may be required.
The salary range for this position at $118,100
