Position Overview:

We are looking for a Technology and Operations Administrator to support the Foundation’s ongoing technology and operations needs.  You will provide technology support and services to Foundation staff, administer SharePoint and Teams, provide application support, implement technology solutions, and oversee the management of the Foundation’s network in coordination with the IT Managed Services Provider.  You will provide operations support to the Foundation’s administrative offices, provide event management support using technology solutions, and operational support for events at the Center for Health Equity, a 15,000 square foot facility designed to host convenings in support of mission.  This role reports to the Administration Manager.

The Technology and Operations Administrator must be an adaptable self-starter comfortable with change and a fast-paced environment.  Strong customer service and strong technical skills are essential to success.  We seek candidates who are passionate about advancing race equity and who will complement and advance our culture.

Core Responsibilities:

Technology support and services:  The Technology and Operations Administrator is the leading Foundation role in managing the day-to-day technology needs of staff, working in coordination with the Foundation’s IT managed services provider (MSP).  Provide and monitor technology support, manage inventory and software licenses,  coordinate the purchase, setup, deployment, and retirement of laptops and other equipment, maintain printers and other office equipment, manage the Foundation’s phone system, and manage internet and data plans. Perform onboarding and offboarding tasks related to technology for new and outgoing staff, and facilitate technology needs for in-office and virtual meetings.  With web developer, support website management, hosting, and security.

SharePoint and Teams administration:  The Foundation uses Microsoft SharePoint and Teams for file storage, collaboration, and its intranet.  The Technology and Operations Administrator is the Foundation’s technical expert and administrator of its SharePoint and Teams sites, managing permissions in accordance with Foundation protocol, and facilitating collaboration.

Network management: Oversee management of the Foundation’s network in coordination with the Foundation’s MSP.  This includes oversight of the Foundation’s network, laptops, SharePoint/Teams environments, and local and cloud-based servers.  Responsible for managing cybersecurity concerns in partnership with the MSP, and business continuity planning concerns related to technology.

Application support:  Provide support for key Foundation software applications, including the Microsoft stack, Asana project management, the phone system, and others as needed. Perform systems administration functions as authorized and ensure system configuration serves agency needs optimally.  Handle technical inquiries, proactively manage application support issues, provide user training, identify and coordinate the implementation of enhancements, and liaise with software vendors and consultants as needed. Identify opportunities for process improvement, and document technical processes around application support.

Project management:  Manage projects using project management software.  (The Foundation currently uses Asana for collaboration and project management.)  Projects include technology projects, Foundation-wide plans, and the management of events at the Center for Health Equity (both in person and virtual).  Coordinate project activities and communicate action items and status to stakeholders.

Vendor management:  Manage day-to-day vendor relationships with respect to technology services and equipment. Clearly communicate expectations and coordinate work. 

Operations and Events Support: Support operations of the Center for Health Equity and the Foundation’s administrative offices.  Participate in Center event planning sessions, support Center technology and its master calendar of events, host Zoom webinars, and provide “on the ground” service at Center events. 

Special Projects and Other Responsibilities:  The Foundation has a small and nimble staff which supports each other’s work across departmental lines.  Staff are expected to assist team members during peak periods as needed. 

Qualifications:

 

·         Bachelor’s degree in Computer Science, Engineering, or a related field preferred; Associate’s degree and/or IT certifications with strong experience in relevant work will also be considered.

·         3+ years experience working in the field of technology.

·         Experience with technology support required.

·         Experience working with an IT managed service provider (MSP) a plus.

·         Software proficiency:

o   Required:  Microsoft Office suite of applications.  Expertise with Microsoft SharePoint / Teams administration. Knowledge of Active Directory.

o   Preferred:  Asana (project management), Zoom

o   A plus:  Constant Contact (email marketing), Fluxx (grant management)

·         Azure experience a plus

·         Experience with audio/visual systems a plus.

·         Able to organize, prioritize multiple projects and meet deadlines in a time-sensitive environment.

·         Project management experience preferred.

·         Strong communication and interpersonal skills.

·         Proven ability to work independently and in a collaborative team environment.

·         Ability to respond quickly to change and work in a fast-paced environment.

·         Demonstrated ability to work effectively under stressful conditions.

·         Ability to write the printed word, read and hear the English Language.

·         Ability to lift up to 25 lbs. and walk up one flight of stairs.

·         Ability to work a flexible schedule that may include evenings and weekends.

·         Ability to work from our offices in St. Petersburg, FL required.
