Summary:

The Foundation for a Healthy St. Petersburg (the Foundation) has a bold mission to end differences in health due to social or structural disadvantages to improve population health. To be effective in this mission, the Foundation’s internal operations must be efficient, sophisticated and nimble. The internal role of Mission Support Manager is crucial to ensuring such efficacy so that the Foundation’s external impact can be maximized to its greatest potential.

The Mission Support Manager is responsible for effective event management at the Center for Health Equity, the operation of the Center’s technology and AV equipment, the maintenance of facilities, and efficient operations of office support.  This role is responsible for supervising the Event and Facilities Coordinator and the Operations Coordinator.  The successful candidate for this position will be a self-starter attracted to the role primarily because of his/her belief in the Foundation’s mission and purpose.  Additionally, he/she derives satisfaction in being part of a team that will contribute to the Foundation’s growth by professionally managing many frontline internal and external processes and establishing and executing high quality operations practices, including constantly looking for opportunities for improvement.

Core Responsibilities

Event planning and operation. This role, in coordination with the Foundation’s team, will provide supervision and leadership in the planning and execution of events in the Center for Health Equity. This includes participating in daily planning huddles, maintaining the Center’s master calendar of events, overseeing resource inventory, ensuring functioning technology and AV needs for events, and oversight of vendor utilization.  This may include evaluating reservation requests according to mission alignment.  This role is customer service oriented, with many internal and external customers, and is crucial to ensure that all involved experience excellence related to events in the Center.  This role requires anticipating issues and proactively implementing solutions.

Facilities monitoring. This role supervises the Event and Facilities Coordinator and ensures that the building is monitored daily to proactively identify and address any issues that may arise with the building itself, as well as ensure that vendors are scheduled efficiently and timely to address identified issues.

Vendor management.   This role manages vendor relationships related to events, facilities, A/V services, and other Center and Foundation service needs.  Vendor management models professional standards and the Foundation’s engagement policy, and includes developing successful long-term relationships, negotiating fair and timely contracts, and clear communications.

Fiscal Stewardship.  This role plans events and activities within budget, reviews vendor invoices for accuracy, and ensures invoices are submitted timely to Finance for processing.

Other duties assigned as needed.

Qualifications/Skills:

ü          ü Bachelor’s degree required or equivalent work experience.

ü         ü Two years, minimum, experience in direct supervision of staff and team development.

ü          ü Three years, minimum, experience in event planning for events up 400 attendees with as many as six presenters.

ü  Experience in audio/visual systems.

ü  Ability to establish, maintain and supervise efficient processes.

ü  Ability to work independently and in a collaborative team environment.

ü  Exceptional customer service skills.

ü  Exceptional writing and communications skills, including editing and proofreading. No tolerance for errors.

ü  Working proficiency with Microsoft Office applications, including Outlook, Excel, and Word.  Experience with Smartsheet a plus.

ü  Bilingual skills a plus.  

ü  Ability to work a flexible schedule, including evenings and weekends.

ü  Ability to lift up to 25 lbs. and walk up one flight of stairs.

ü  Ability to relocate to St. Petersburg, FL.
