Boutique real estate law firm and title company, located in downtown Orlando, is seeking a hardworking and experienced client liaison for our fast-paced Orlando office. The ideal candidate is a self-starter and team player who is dedicated to providing exceptional customer service.   


Office Hours are M-F 8:30am-5:30pm


Responsibilities:

  • Answer, screen and forward incoming phone calls for multi-line phone system for both law firm and title company
  • Greet, welcome and attend to clients / visitors as soon as they arrive at the office
  • Provide basic and accurate information in-person and via phone/email
  • Ensure reception area and conference rooms are tidy and presentable, with all necessary stationery and materials
  • Maintain calendars and schedule consultations, closings and meetings
  • Open files for new matters/contracts and send out client intake for processing for all attorneys and title closers
  • Gather pertinent file information and make follow-up calls to clients, buyers, sellers, their agents, etc. as necessary 
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Perform other clerical receptionist duties such as scanning, photocopying, faxing and filing documents
  • Receive and log escrow deposits / check payments
  • Order payoffs, estoppel letters, surveys and any other requirements to clear title
  • Assist with drafting, sending and logging of engagement letters as needed
  • Other duties and special projects as assigned

 

Qualifications:

  • Minimum of 2 years of prior front desk, legal assistant or title experience required
  • Professional attitude and appearance
  • Exceptional customer service skills and professional phone manner
  • Able to multi-task, prioritize and work well under pressure while remaining detail-oriented and organized
  • Solid written and verbal communication skills and interpersonal skills
  • Computer proficient especially with Microsoft Word, Excel and Outlook
  • Experience using closing software such as Closer’s Choice or Qualia a plus
  • Bilingual (English/Spanish) is a plus


Office hours are Monday-Friday from 8:30am-5:30pm
