Job Title:              Events, Administrative Assistant

FLSA Status:       Non-Exempt / Part-time (15-20 hours per week) 20 hour maximum

Compensation:     $16.00/hour

 

 

SUMMARY

The Events Administrative Assistant provides part-time support for event operations including all front-line customer service to Science Center clients and guests. Events at Arizona Science Center include social, corporate, foundation and community partner, public, and internal programs. A successful candidate will be professional and polite, energetic, enjoy a dynamic work environment, and desire to successfully contribute to the sales and production of the best events Arizona has to offer. This job is a balance of administrative responsibilities and customer service to ensure events are organized, documented, and running smoothly from inquiry through completion. ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Receive and field all incoming event rental inquiries and booking requests to appropriate team in a timely manner
  • Assist with contract administration once events are booked
  • Manage invoicing and payment status once a contract is signed
  • Maintain accurate pre- and post- event records and documentation
  • Manage and update the event calendar
  • Provide additional administrative and project support as needed 
  • Track event progress to ensure requirements are timely and in place
  • Use Tessitura and other database systems for client record keeping
  • Receive and process payments
  • This position may include early mornings, evenings (sometimes late), weekends and occasionally holidays

 

QUALIFICATIONS:

  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Attention to detail and ability to manage multiple tasks 
  • Proficiency with office software (email, spreadsheets, calendars) 
  • Ability to work independently and as part of a team 
  • Prior administrative or event-related experience preferred
  • Must be 21 years of age for liquor handling when needed
