Overall Purpose of this Role: This unpaid internship opportunity is to provide on the job training to current college student(s) receiving college credit.  Interns will gain the necessary knowledge, skills and abilities in their field of study, while being mentored to help with learning and carrying out of the assignments given. The Event Intern will directly assist the Events department with a wide range of events, such as the Change Maker Impact Awards Dinner, State of our Veterans Summit, Women United Luncheon, State of Our Families Conference, and SeaWorld Donor Appreciation Day (based on term), along with contributing to the day to-day event operations, and event execution. The Event Intern reports to the Event Manager. This is an exciting opportunity for an individual interested in learning more about nonprofit event planning. 

 

Key Assignments:

 

  • Provide assistance with the planning, implementation, and follow-up related to events
  • Attend site tours in-person for upcoming events with the Event Manager 
  • Help research and review venues, vendors, and event related items for future events 
  • Assist with vendor and venue event-related matters

  • Provides support and guidance to exhibitors and guests on-site at events
  • Propose new ideas to improve the event planning and implementation process
  • Update event timelines and assist with project management
  • Participate in event planning committee meetings
  • Contribute to on-site event prep, set-up, tear-down, and help coordinate event execution
  • Evaluate and analyze event results through effective recording and documentation
  • Recommend and create standard operating procedures to help streamline processes
  • Update guest registration, seating information and related data entry
  • Assist with inventory and packing list management
  • Performs special assignments and other work, on an as-needed basis.

Education & Experience:

·       Active student working toward a degree in a related field (e.g., event management, business administration, nonprofit management, or other relevant major).

 

Qualifications:

·       Comfortable working alone on assignments and in collaboration with others.

·       An effective communicator in written and oral form.

·       Well organized, proactive, flexible and dedicated to helping in a support role.

·       Computer proficiency and a working knowledge of various computer software such as Microsoft Word, Excel, PowerPoint, and Teams.

Time Commitment Demands:

·       15-20 hours per week (more available if required by internship program)

·  Available days Monday-Friday, 9:00am-4:00pm (exact shift will vary based on student schedule)

·    While the majority of time will be in a regular work day schedule, nights and weekends will occur. Total time over the week will be adjusted based on the event schedule.

·       Internship is mostly remote with onsite presence onsite during events as needed.

 

Physical Demands:

Physical demands include sitting or standing for extended periods of time, bending, occasional lifting of items weighing up to approximately 25 pounds, regularly moving throughout the building between floors, traveling to outside meetings, regular use of standard office equipment such as the telephone, copier, fax and computer.  Demands also involve protracted concentration.  Reliable transportation is required.  Job involves frequent interactions with internal and external customers, and routinely intense public contact.
