JOB TITLE: Operations Manager, Full-Time

REPORTS TO: Finance Director

Salary range: $55,000 - $60,000

POSITION SUMMARY:

Greenbelt Alliance seeks a hands-on Operations Manager, reporting to the Finance Director and working closely with the Executive Director, to play a critical role in ensuring the organization runs smoothly. JOB DETAILS:


EXECUTIVE SUPPORT

  • Support Executive Director, including scheduling and invites, sending reminders, organizing meeting space (physical or virtual), and supporting other administrative tasks. 

  • Support the Board of Directors, including calendar and meeting materials, meeting preparations, and minutes as well as maintaining ongoing Board files and communications.


HUMAN RESOURCES

  • Manage day-to-day HR operations including job postings, on-boarding, orientation, and off-boarding processes. Organize HR Google Drive for seamless filing. 

  • Manage records retention of payroll, employee files, and forms; download payroll reports, PTO accrual reports, and save them into HR Drive.

  • Organize & facilitate org-wide meetings/events including weekly staff meetings, staff birthdays, anniversaries, retreats, team-buildings, and holiday parties.

  • Update policies and procedures to support anti-racism, diversity, equity, and inclusion. Develop activities and processes to strengthen the organization’s values and promote personal growth and professional development. 


TECHNOLOGY AND OFFICE MANAGEMENT

  • Manage physical and virtual office environment: responsible for physical office’s access, relocation or transition to remote work.

  • Manage in-office mail: Once per week, go to office (based in San Francisco) to retrieve, open, scan, and distribute mail.  

  • Maintain all technology set-up and systems such as (Gsuite, Asana, Slack, Grasshopper, Ignition, etc.). Add or remove user accounts from the system. Re-organize Shared Drive filing methodology for seamless filing and retrieval of documents.

  • Manage day-to-day office management: procure and maintain office and equipment inventory: keys and access cards, furniture, supplies, computers, and other accessories.

  • Ensure that all tools and supportive technology are being well utilized across all roles and propose evolution of tools to better support operations. 

  • Manage and improve systems and processes to help the organization run seamlessly. Approach the work with a strategic eye to improve current processes. Proactively address operational issues and collaborate across teams to solve problems quickly and thoughtfully. 



ADMINISTRATIVE

  • Ensure donation transactions are accurate across all platforms including inputting payments data in Salesforce and reconciling payments monthly. Batch checks by recording, scanning, and mailing them to the Finance Director for bank deposit.

  • Maintain payment records by downloading and saving cash/donation settlement reports for credit cards; Eventbrite, and any other giving platforms. 



PREFERRED QUALIFICATIONS

  • 2-5 years of office management or administrative experience 

  • Excellent organizational skills with a focus on efficiency and effectiveness. Proponent of continuous process improvement. 

  • Exceptional communications, strategic thinking, and interpersonal skills

  • Self-starter, can work collaboratively and independently

  • Team player and eager for the next challenge

  • Ability to manage multiple conflicting priorities and deal effectively with ambiguity

  • Experience in supporting a remote team

  • Strong technical skills: proficiency in Microsoft Office Suite, Gsuite, Asana, Slack, and Salesforce preferred
