Distributed Solar Development, LLC (DSD) seeks an Operations Administrator to join its growing team. DSD develops “C&I” solar and solar plus storage projects with municipalities, F500 companies, and utilities. This role will work with the DSD Construction team.
- Minimum 5 years project coordination/management, Logistics or Contract Administration in construction fields
- Minimum 5 years Construction Administration Experience
- Uses sales/construction operating IT/software systems to track project status, record data and produce reports
- Uses cloud based file storage system for project documentation organization
- Understands standard construction processes and documentation
- Extremely strong organization skills
- Experience with contract administration
- An ability to prepare and interpret flowcharts, schedules and step-by-step action plans
- Strong MS Office and Project skills
Assist project management in a number of functions including:
o Assist Construction PM’s and Engineers and coordinate subcontract and bid document creation
o Organize and oversee subcontractor, third party engineering firm and vendor contract database via (salesforce)
o Ensure all contract deliverables (i.e. COI, qualification forms, signed contract, etc.) obtained and appropriate for onboarding
o Tracking subcontractors and vendors in system
o Obtain current vendor contracts and certificates of insurance as needed
o Ensure invoices are approved and submitted into system
o Work with Construction Project Managers, Engineers and Accounts Payable to ensure timely subcontractor and vendor payment
o Coordinate all logistics and material handling from PO receipt to site
o Work with PM’s and site contacts to ensure proper material handling
o Work with site contacts and PM to return all material (damaged or excess) from site
o Work with vendors and PM’s on shipping and storage of material
o Initiate and obtain equipment deliverables needed for project closeouts including: Purchase orders, data sheets, install manuals, serial numbers, warranty, and warranty transfers.
o Complete and maintain project module inventory used for closeouts and reconciliations of any damaged, moved or leftover modules.
o Setup and maintain projects and vendors into Procore for Construction Management
o Assist with project mobilization, close out and deliverable documentation
§ Mob checklist – permits, contracts, etc.
§ Closeout Checklist – contract deliverables, QAQC, commissioning, equipment, etc
§ Internal Deliverables such as QAQC, Commissioning, EHS Audits, Budget and Schedule (milestones), Project Updates
o Track and organize project quality assurance and control program
o Perform project deliverable audits
o Bond assistance and support
o Insurance assistance and support
o Permitting assistance and support
o Record meeting minutes for client project calls
o Collects submittals and other project paperwork from subcontractors
