The Database/Advancement Coordinator is a part-time position that reports directly to the Chief Advancement Officer. The Database/Advancement Coordinator will be responsible for all administrative aspects of development/fundraising activities to support donor stewardship at all giving levels. The ideal candidate will have at least one year of experience in a development, operations or finance role and background working with systems and databases especially CRMs, preferably in a non-profit setting.
Part Time - 20-25 hours/week
Essential Functions & Primary Duties
- Accurately and efficiently fulfill all tasks related to donor processing, including, but not limited to receiving donations across various methods, recording donations, issuing receipts, and acknowledging donations
- Send CAO acknowledgement batches for weekly review, making edits according to both acknowledgement letters and Little Green Light records, as needed, and print and mail letters to donors in a timely manner
- Maintain all donor and donation records in Little Green Light, focusing on integrity and accuracy of data
- Request or research information when data appears duplicated, in error, or incomplete
- Receive, verify, process, and update donor information regularly
- Create donation reports on a weekly, monthly, quarterly, annual basis, and compile financial data and donor information as requested
- Assist with special projects and mailings related to database information
- Manage grant tracking and comply with all grant reporting as required by funders and leadership
- Support the Chief Advancement Officer and Manager of Volunteer Resources as needed for donor engagement activities.
Cultivation and Stewardship:
- Actively support organizational efforts to identify, cultivate, solicit, and steward current and prospective donors
- Enhance implementation of effective cultivation and solicitation strategies to improve retention, identify and invite donors to upgrade their support, and reengage lapsed donors
- Proactively support the stewardship responsibilities of the COA and Volunteer Manager by assisting them in establishing and coordinating individualized stewardship plans for existing and prospective donors and volunteers
- Conduct research to identify donor prospects, build donor/prospect profiles, and provide comprehensive briefings to COA
- Research, draft, and edit accurate and compelling donor correspondence, communications pieces, and narrative reports, and generate innovative ideas and strategies to enhance stewardship programs
- Track donor relations and stewardship activities within Little Green Light
- Processing fundraising gifts into Little Green Light in accordance with internal procedure
- Create, print, and send donor thank you letters/emails and tribute notification letters/emails
Qualifications Required
- Minimum 3 years of related experience, such as data entry, gift processing, or database management, analysis, and reporting.
- Associate degree
- Demonstrated experience maintaining systems regarding gift processing and acknowledgment and monitoring these systems
- Highly detail-oriented, organized, deadline-driven
- Clear, precise, and compelling writing skills
- Able to communicate effectively
- Motivated self-starter with the ability to work independently with purpose and accuracy in a fast-paced environment
- High proficiency in and other donor databases, mail merge and in all areas of Microsoft Office to include Outlook, Word, Excel and PowerPoint and Google Office Suite products.
