The Recruiter/Office Coordinator is an exciting opportunity to play a strategic role in the growth of Embrace® as we transition from a regional brand to a nationally recognized leader in the Special Education Management Software industry. This is a dual role with the primary focus of recruiting. This role will advertise, identify, recruit, and hire exceptional talent. Once new talent is hired you will assist in the onboarding process, create training schedules, organize new hire paperwork, schedule testing and set up account accesses. This position will also help retain talent by leading employee engagement initiatives, like making weekly announcements to the staff, company branded gifts, and birthday and anniversary announcements.

 

This is a full-time, remote position. Your work hours are a fixed schedule, Monday-Friday 7:30 am – 4:30 pm CST.  This position requires a dedicated workspace, free from interruptions. This position will report to the Finance Director and will provide regular updates on openings, applicants, and various other topics to company leadership. Must be comfortable and confident to report to and work with all levels within the organization.

 

Job Responsibilities:

  • Partner with hiring managers to understand job responsibilities, skills and competencies required to meet recruiting needs
  • Review and improve job descriptions as needed
  • Plan interview and selection procedures, including screening, assessments, and scheduling interviews
  • Review hiring manager calendars to schedule interviews, avoiding prior commitments and scheduling conflicts
  • Utilize our Applicant Tracking System to evaluate candidate skills and determine if they meet the position requirements
  • Present qualified, quality candidates to hiring teams
  • Create job offer, extend offer and follow up with applicants
  • Manage applicant testing, including ordering drug/background testing and assessment testing
  • Organize new hire paperwork, verifying it is complete and stored in employee file
  • Coordinate shipping of equipment and supplies
  • Work with other departments to create onboarding schedules for new hires
  • Facilitate welcome presentation for new hires, assist in training new hires in our payroll system
  • Manage offboarding process, including but not limited to facilitating the return of equipment
  • Develop and lead employee engagement initiatives by introducing new ideas and continuing efforts already in place.
  • Coordinate announcements to the staff for employee anniversaries, birthdays and other events
  • Review current employee evaluation processes and establish rating guidelines
  • Provide administrative support for special projects and initiatives as needed. This could include ordering supplies, event coordination, researching and presenting new vendors to improve processes (applicant testing, ATS, expense tracking, supplies).

 

Requirements

 2-5 years of experience as a Recruiter or similar HR support role in a fast-paced environment or equivalent education and work experience

  • Experience with using Microsoft or Google products (Outlook, Google Mail, Calendar and Docs)
  • Strong written and verbal communication
  • A strong ability to manage time and competing priorities effectively
  • Relentless attention to detail and accuracy
  • Being self-motivated with a proactive approach to problem-solving
  • High attention to process and a passion for process improvement
  • Bachelor’s degree, preferred
