Spirovant is a leading gene therapy company in Philadelphia.  We have recently expanded into new research facilities where we develop promising treatments and cures for patients with inherited respiratory diseases.  Spirovant is looking for a Head of Administrative Services reporting to the CEO. The candidate must be a resourceful individual with exceptional communication skills, organizational ability, and capacity to provide operational support across a wide variety of tasks and initiatives.

Responsibilities:

·        Coordinate complex schedules and arrange meetings with broad external partners, including our Board of Directors and potential investors.  Often you are people’s first impression of Spirovant and the CEO, candidate must project a positive, professional image in all interactions and situations. 

·        Communicates with employees on the CEO’s behalf and coordinates logistics with high-level meetings both internally and externally, which includes assisting with planning Board meetings and preparing the Board slides and documents.

·        Researches, prioritizes, and follows up on incoming issues and concerns addressed to the executive, including those of a sensitive or confidential nature. Determines appropriate course of action.

·        Provides Management and maintenance of corporate documents. 

·        Provide Management Meeting Support including agenda generation, background collection and generation, follow-up.

·        Special projects as assigned, including management of external Clinical and Scientific Advisory Board meetings.  

Additional responsibilities:

·        Make judgments and recommendations to ensure smooth day-to-day engagement

·        Partners across organizational boundaries to deliver outcomes with other Executive Assistants and business partners 

Skills needed:

·        Strongly preferred - 3-5 years supporting a CEO (or similar) in pharma/biotech/or related life science company.

·        Experience interacting with stakeholders including scientific and medical advocates Strong verbal and written communications are required.

·        Highest level of ethics and ability to maintain confidentiality at all times with all situations and documentation.

·        Ability to resolve complex administrative problems independently and perform tasks that are diverse and advanced.

·        Ability to draft, proofread and edit documents for accuracy.

·        Uses business knowledge, innovative thinking, and sound judgment in the solution of problems.

·        Consolidates information from various sources including feedback from others to reach sound decisions.  

·        Maintain a high level of passion and energy to support the pace of the CEO and the business.
