Spirovant Sciences, Inc. is the leader in the field of cystic fibrosis gene therapy, founded in 2016.  Spirovant has developed a novel transgene and a number of innovations in multiple viral vectors that collectively will overcome challenges that have previously limited the clinical viability of gene therapy for cystic fibrosis.  Spriovant is currently looking for an Executive Assistant/Office Manager to work in center city Philadelphia, who will be responsible for managing and providing administrative support for the Spirovant team, as well as managing the day-to-day functions of the office. The Executive Assistant will be an integral part of the Spirovant team.

Responsibilities:

  • Responsible for office oversight; including space planning, resource management and office supply procurement
  • Ensuring that general office duties such as office setup, ordering supplies, maintaining records management database systems, and performing basic bookkeeping work are performed or delegated for completion as appropriate
  • Providing administrative support to the CEO and other executives as needed, including calendar management, conference room set-up, arranging travel, preparing correspondence, spreadsheet reports and presentations
  • Responsible for maintaining corporate files and databases, ensuring that corporate records and reports are current, and can be retrieved and audited for accuracy
  • Tracking, maintaining and updating all vendor and supplier contracts
  • Working with Finance to establish procedures for receiving, scanning and approving invoices
  • Managing employee expense reporting process
  • Tracking and recording employee PTO
  • Coordinating with HR and Finance in the hiring and termination processing of employees
  • Providing support for hiring activities – recruiting, onboarding, off-boarding
  • Assisting in designing standardized systems for intake of new employees, onboarding and offboarding of employees
  • Coordinating onsite interviews with candidates
  • Reviewing a variety of materials, including reports, presentations, letters, and memos for content, recommends changes and makes revisions
  • Demonstrating continuous effort to improve office operations, decrease turnaround times, streamline work processes, and working cooperatively with all staff to provide quality service
  • Working with confidential and propriety information, and maintains confidentiality with unquestionable integrity
  • Preparing spreadsheets, reports, memos, letters, financial statements, and other documents using word processing, spreadsheet, database, or presentation software
  • Reading and evaluating incoming calls, memos, mail, and faxes to determine their significance and how best to address them

Requirements:

  • Associates degree or equivalent training required; bachelor’s degree preferred
  • Prior administrative management experience
  • Advanced knowledge of the Microsoft Suite of applications including Word, PowerPoint, Excel, Outlook with the ability to create and edit complex presentations, tables, etc
  • Familiarity with both Box.com and Google Drive file systems
  • Ability to manage multiple Outlook calendars and set up Zoom to accompany meetings
  • Exceptional organizational and time management skills with the ability to prioritize and manage multiple, high priority projects with a keen attention to detail
  • Ability to demonstrate initiative and independence in carrying out multiple tasks, as well as strong critical thinking and problem-solving skills
  • Ability to work well with all levels of employees and demonstrate strong teaming and partnering skills
