The Executive Assistant will provide high level support to executive team members. Serving as a liaison to the executive team, employees, as well as internal and external executives. The Executive Assistant must be creative and enjoy working within a highly motivated and team-based environment. Must have the ability to exercise good judgment, promote, plan, and strategically orchestrate their responsibilities to ensure the executive's goals and objectives are accomplished.
QUALIFICATIONS
Educational Requirements:
High School Diploma, Bachelor's Degree Preferred
Experience Requirements:
3-5 years’ experience in an administrative/executive support role reporting directly to senior management.
Required Skills and Abilities:
- Excellent written, oral communication skills, and computer literacy.
- Strong time-management skills and an ability to take initiative, give instructions, organization, and adeptness with multitasking.
- Proficiency with office productivity tools and an aptitude for learning new software and systems.
- Ability to exercise good independent judgement in a variety of situations.
- Ability to work collaboratively within a team environment as well as independently from conception to completion.
- Flexible team player, willing to adapt to changes and unafraid of challenges, resourceful with a can-do attitude.
- Ability to maintain confidentiality of information and use professional discretion related to the company and its employees.
- PC/Microsoft Office software suite, Mac/iOS.
- Experience in overseeing budgets and expenses.
- Experience in developing internal processes.
- Physical Requirements:
- Sitting: Extended periods at a desk or workstation.
- Standing and Walking: Occasional movement within the office.
- Lifting and Carrying: Light to moderate lifting of office materials.
Additional tasks may require reaching, manual dexterity, and visual acuity.
PRINCIPAL DUTIES
- Maintain and manage professional scheduling for agendas, email, phone calls, client management, and other company logistics for the General Manager and Vice Presidents of Sales.
- Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives, internal and external.
- Manage the General Manager’s and Vice Presidents of Sales’ travel logistics and activities, including accommodations, transportation, meals, and expenses.
- Maintain professionalism, use good judgment, discretion, and strict confidentiality with all materials.
