Job Title: US Grants Coordinator

Reporting to the US Grants & Network Manager, the Grants Coordinator will be responsible for processing and management of grant applications, ensuring excellent quality of project proposals, contracts management, timely reporting and funds disbursement in line with IR USA program priorities. This position will also contribute to continually develop and refine policies and procedures supporting IRUSA’s management of grants to ensure greater compliance with organizational policies and requirements. Essential Duties and Responsibilities:

  • Coordinate and work with Programs Team and other departments for ensuring technical, legal, financial, and administrative compliance in grants management process;
  • Ensure that all grant applications are timely acknowledged and processed including proposal reviews, feedback/guidance to applicants and necessary follow up aimed at developing good quality project proposals;
  • Prepare project summaries and other necessary documents and make presentations at IRUSA’s Project Approval Committee (PAC) meetings;
  • Work as the focal person for US grants for applicants and partner organizations and represent IRUSA at external meetings/events, and build partnerships with relevant stakeholders;
  • Assist in drafting grant agreements and process their vetting by the Legal Team including provision of any additional information about the partner organizations/projects, if required;
  • Under the supervision of the US Grants & Network Manager, coordinate proposal review and negotiation of grants, including budget, payment provisions, reporting requirements and general terms and conditions.
  • Keep the management abreast of domestic grants portfolio by periodically circulating status updates on committed grants, forecasting and tracking grants progress and budgets;
  • Participate in the ongoing improvement and maintenance of grants management tools, such as funding trackers, reporting calendars, templates, project close-outs and compliance guideline documents, and work with Programs Team to maximize the use of those tools.
  • Ensure that grant agreements are developed according to IRUSA policies and procedures, and are being effectively monitored;
  • Assist in trouble-shooting issues as they arise; respond to questions/inquiries from applicant/partner organizations;
  • Performs other duties as assigned.  


Qualifications and Competencies:

  • Minimum 2 years’ relevant work experience plus Bachelor Degree in related field; or equivalent combination of education and experience.
  • Experience with donor-funded programs in the United States, especially grant and/or program management responsibilities for a nonprofit organization strongly preferred.
  • Demonstrated understanding of the synergy between the programmatic, operational and financial components of program management.
  • Ability and willingness to work in an organization with a highly collaborative approach, and in a headquarters culture;
  • Excellent interpersonal skills including active listening skills, the ability to communicate effectively across cultures, to negotiate effectively with internal and external colleagues and clients.
  • Ability to explain complex information to a broad range of individuals from various backgrounds; experience of conducting meetings a strong plus.
  • Working knowledge of budget development and management;
  • Highly computer literate including very strong Excel skills, and solid knowledge of database management.
  • Experience working in a multi-cultural setting;
  • Must be eligible to work in the United States.
