ROLE SUMMARY

PAI utilizes its CRM (Salesforce) to track our engagement with partner organizations, manage fundraising performance and relationships, and measure impact and outcomes. The Data and CRM Lead position functions within the Operations team and reports to the Operations Manager (reporting lines subject to change). The Lead serves as the principal technical expert, developer, and user facilitator for PAI’s Salesforce - CRM system. They are responsible for the configuration, support, maintenance, and improvements of the customized platform. 


The Data and CRM Lead supports our capacity to operate as a data-driven organization by maintaining the integrity and performance of our CRM and providing support to end users through ongoing training and technical assistance. 


The Lead will focus on maximizing PAI’s impact by strengthening the position of the CRM as our one source of truth, supporting the data management needs related to partner engagement, fundraising, and facilitating accurate and reliable data with frequent reporting.

WHAT YOU’LL DO

System Administration and Design

  • Serve as a system administrator for our CRM environment

  • Handle all basic administrative functions including user account maintenance, reports and dashboards, workflows and other routine tasks

  • Create and manage complex workflow rules, data validation, and triggers 

  • Create and maintain user documentation specific to PAI’s CRM instance, integrations, and custom deployments

  • Manage all administrative functions including user maintenance, workflows, reports, and dashboards

  • Build and design custom apps and objects, formula fields, workflows, custom views, and other content of intermediate complexity


User Support

  • Work with project teams to establish suitable processes to support administrative, development, and change management activities

  • Strengthen the culture of data management throughout the organization through strong user engagement, accurate data capturing, analytics, and reporting

  • Collaborate with users and stakeholders and look for ways and opportunities to improve user experience and increase usage

  • Help develop and maintain CRM governance strategy and high data integrity practices

  • Provide day to day user support and answer user questions, troubleshoot configuration defects and process gaps

  • Advise on the creation of secure user access protocols that allow staff to update the CRM accurately and efficiently in order for the organization to make transparent, data-driven decisions in real time


System Improvements and Learning

  • Manage relationship with PAI’s CRM vendor, including evaluating performance and selecting new vendors and contractors as needed

  • Complete regular internal system audits and prepare for upgrades; ensure relevant data practices strengthen organizational compliance

  • Coordinate the evaluation, scope, and completion of new design and development requests, improving existing applications, data migrations, and CRM integration

  

MINIMUM QUALIFICATIONS:

  • Previous experience (3+ years preferred) in CRM management, CRM administration and business/data analysis, including at least 1 year as a Salesforce Administrator

  • Deep knowledge of CRM systems, including demonstrable experience configuring and managing a live system in line with organization needs

  • Must have a proven track record in driving CRM strategies, database growth, digital engagement and analytics

  • Strong analytical, quantitative and data-driven decision-making skills

  • Experience in creating and validating test plans for both manual and automated processes 

  • Strong familiarity with data privacy, data protection and data handling

  • Ability to work both independently and within a team, project management experience a plus

  • Strong verbal communication skills

  • Uphold a strict level of confidentiality

  • PAI is headquartered in San Francisco, with a global membership base and scope. This role is eligible for remote work within the United States with no requirement to be located in San Francisco. We do not offer visa support for this position at this time.
