Administrative Assistant

 

The Administrative Assistant is responsible for maintaining accurate information in our Company systems and related administrative responsibilities.

Duties and Responsibilities:

  1. Daily uploading of inventory and shipment data to our management system and to our customers
  2. Track and review inventory levels, communicate updated inventory levels to retail partners
  3. As a member of the Operations Team, ensure customer orders are processed, shipped, and billed on time, 100% correct
  4. Provide back-up for our daily customer order processing system
  5. Process orders from multiple customers and multiple ecommerce sites
  6. Transmit orders to the Company’s warehouse
  7. Follow-up and troubleshoot customer orders with our retail partners and the warehouse
  8. After the orders ship, communicate status back to the retail partners and consumers and invoice the sale
  9. Send summary of invoices to our Factor Vendor; track payments from the Factor
  10. Create vendor purchase orders in our management system for international suppliers
  11. Co-ordinate with Production and Logistics team to ensure timely receiving of products
  12. Track production and product imports through our management system, and record receipts upon arrival at our warehouse. Check invoices from our Freight Forwarder Check invoices from our 3rd party warehouse
  13. Maintain the accuracy of the information in our management system for products
  14. Create new items in our management system
  15. Create and assign UPC codes, product labels, and customer shipping labels
  16. Organize and maintain our calendar of weekly business review meetings, including publishing notes from the meetings
  17. Assist in handling Customer Service phone calls and emails
  18. Assist in the Company order process automation project, including system conversion
  19. Maintain the customer information in the Company’s system, ensuring data accuracy
  20. Maintain the supplier information in the Company’s system, ensuring data accuracy
  21. Track performance of the order process through invoicing system and recommend and implement improvements to our systems
  22. Work closely with sales to identify aged inventory and recommend actions to minimize
  23. Assist Sales in listing new items
  24. Respond to customer and consumer feedback, including reviews
  25. Update product attributes and images in Retail Link partner site
  26. Maintain Walmart reports with outside analytics team, and publish documents to company team members
  27. Ensure products are updated to reflect sale pricing or other changes throughout the product's lifespan
  28. Assist in Marketing products, updating product images, and promotions
  29. Assist in Merchandising of products and lifestyle images where applicable, to promote sales
  30. Manage State and local Bedding Law Label requirements and renewals
  31. Perform other tasks and projects as needed
