Job Overview

The Program Support Assistant is responsible for providing administrative support to the Program Manager throughout the planning and implementation of the program. This is a salaried, overtime-exempt position with excellent benefits located in Nashville, Tennessee with some travel required regionally within the state. This position requires the ability to pass a reference check, background check and drug screen.  

Responsibilities and Duties

  • Provide administrative assistance to the assigned Program Manager and/or Program Director

  • Take minutes at staff and partnership meetings

  • Manage the Program Manager’s calendar

  • Coordinate and maintain grant cycle calendars and site visit schedules

  • Assist with tracking and managing grant-related documents and systems

  • Respond to emails and answer calls

  • Act as a liaison between the Program Manager and program staff, and between the Program Manager and community partners, as needed and requested

  • Maintain office calendars and send out reminders of impending events

  • Manage online resources

  • Assist with communications with staff and community partners

  • Relay internal emails to staff

  • Assist in the planning and implementation of significant events 

  • Reserve equipment and conference rooms for presentations and in-office meetings

  • Manage and order office supplies

  • Run program-related errands, as needed, for the Program Manager

  • Make reservations for various off-site business meetings

  • Assist with fundraising activities

  • Prepare documentation for grants 

  • Assist with the preparation of reports

  • Proofread and make copies of documents

  • Assist in managing the budget for special and routine events

  • Assist with the documentation and processing of expenditures, invoices, and financial reports, as needed and directed by the Program Manager and Persevere financial staff

Qualifications

  • Educational Requirements

  • Minimum of three years of experience in a program support role, preferably as the administrative support for a program manager; experience with grant programs is a plus

  • Demonstrated ability using computers and database applications, including Microsoft Office; having a background in using a cloud-based customer relationship management platform database helpful

  • Driving and occasional travel will be required; must have valid drivers license and access to reliable transportation

  • Top-notch communication and organizational skills, both verbal and written, with meticulous attention to detail

  • Ability to work in a close, cross-functional team environment, along with the ability to work independently for periods

  • Willingness to learn and ability to quickly apply new learning

  • Excellent customer service skills with various audiences

  • Flexibility; must be willing and capable of adapting to changing priorities and deadlines

  • Evidence of dependability, trustworthiness, and professional work habits

  • Ability to take the initiative and complete project assignments independently or as a team

  • Must be able to multitask during peak periods and work with deadlines

  • Experience working for a nonprofit or foundation helpful
