DESCRIPTION

The Saint John Institute (SJI) is a non-profit 501c(3) organization with a vision to be the premier center for Catholic leadership formation for business professionals and families in the United States. Our mission is to inspire, equip, and engage Christians to lead their family, business, and culture by surpassing, innovative formation programs and communities through 4 ministries: Eagle Eye Ministries (EEM), the Saint John Leadership Institute (SJLI), and Saint John Leadership Network (SJLN), and Dare Great Things© (DGT). EEM is serviced by Brothers and Sisters of the Community of St. John. EEM’s mission is to form, unite, and inspire young Catholics to Dare Great Things© in their lives by deepening their relationship with Christ through prayer, study, culture, and community.  EEM offers a program portfolio of retreats, summer institutes, excursions, and an annual pilgrimage. Each is led by a volunteer director under the direction of the Central Strategic Team (CST). 

 The EEM Program Manager is the point of contact for program implementation and its volunteers. S/he ensures accuracy and proper execution of all administrative tasks related to program registrations, event insurance, purchasing, and billing, tracks program expenses in accordance with program budget, and evaluates program results to ensure that the program meets objectives. The Program Manager ensures that the organization adheres to the approved budget and prepares reports for program management. 

The position’s top priorities are: 1) Program administration: set up, maintain Teams folders for EEM programs and administration; write operational procedures; maintain historical records; and assist the SJI Business Office with EEM purchases, requests, and reimbursement procedures, 2) Support CST, program directors, and clergy with administrative tasks, 3) Support pre-post event planning, 4) Participate in the CST and EEBOM meetings, and, 5) Provide timely communication in support of EEM programs. This position reports to the CST. SJI hours are 8:30 – 5:00 Monday-Friday. We are located in Englewood, CO. Daily Mass on site. This is a full-time position with benefits.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Create and/or update EEM policies and procedures with SJI template

Support directors and volunteer staff in executing their areas of organizational responsibility

Serve as EEM primary point of contact for internal and external communications

Ensure accurate and timely processing of EEM purchase requests and reimbursements 

Plan and facilitate annual strategic meeting

Program Support (60%)

Create written policies and procedures for the EEM portfolio within the first 6 months of hire 

Develop a written process to set up, register participants, and manage program registrations

Create a written safety protocol for volunteers

Create a plan for EEM Alumni Communication/Engagement

Create and maintain the EEM calendar

Develop an annual strategic plan with the CST that includes EEM goals, objectives, and a gap analysis  

Create and monitor the EEM budget with the Finance Director, EEM CPA, and SJI Leadership team

Manage EEM staff and volunteers

Promote events with the EEM Director of Promotions, Communication Department, and SJLN

Monitor EEM email and social media accounts with EEM Promotions Director

Establish a contact database, cultivate current and future EEM partner relationships

Assist the Chief of Staff with job descriptions, the hiring process, and on/offboarding of staff and volunteers

Participate in the weekly SJI Leadership team meetings, including a weekly written update

Collaborate on writing the strategic plan to expand EEM’s portfolio of events

Establish and manage event planning timelines in communication with directors

Administrative Support (40%)

Responsible for maintaining good standing with required filings by local, state, and federal agencies for insurance, licenses, and any documentation required to host EEM events

Ensure EEM volunteers and staff adhere to all SJI Policies and Procedures, including credit, debit, gift cards

Collaborate on grant applications with the Business Office and Development teams

Provide EEM teams with timely answers and problem resolution   

Generate team reminders for meetings and payroll. Ensure timesheets are accurate

Complete the final migration off Google platform and onto Teams by working with Tech Support   

Ensure that all tech issues are resolved in a timely manner for hardware, software and Microsoft 365

Other Duties and Responsibilities (10%)

Actively participate in team meetings, events, other duties as assigned

Some evening meetings and/or weekend work may be required

QUALIFICATIONS

Experience in project management and volunteer management on-site and in virtual settings

Timely, effective communication and collaboration with all Leadership and staff

Strong orientation toward influencing a positive work culture of professionalism and team collaboration

Able to work on the SJI campus as needed   

Ability to work independently with minimal supervision

Teachable spirit. Willing to take on new tasks.

Moral life according to the teachings of the Catholic Church

Education and Experience:

Required

Bachelor’s Degree

At least three years of office, staff, and program management experience

Intermediate skills with Microsoft Office Suite

Strong verbal and written communication skills with strong orientation to serving customers

Strong interpersonal and relational skills

Experience working with and coordinating volunteers

Preferred

Experience with program registration platforms

Experience with Microsoft Teams

Strong knowledge about the EEM

Licenses and Certifications:
