Since 2018, our Colorado events have more than doubled. At our events (retreats, conferences, and workshops), we serve the community by engaging our participants to lead their families, business, and world in the name of Christ. Our events integrate the experience of the Catholic spiritual experience, community, and rich intellectual formation in an effort to change lives by changing hearts. At our events, Jesus Christ is proclaimed, and as we impact the lives of our participants, we contribute to improving our culture and the life of the family. As we continue to expand our reach, exceptional service is essential. The Colorado Events and Volunteer Coordinator plays a vital role in 2020 to plan events, grow our volunteer base, and boost our social media presence to ensure the success of an ambitious calendar of events statewide.
The Colorado Events and Volunteer Coordinator collaborates with all levels in the organization to develop events and expand community relationships in the Young Adult and Catholic communities. This position leads local event planning and volunteer management at SJI. This full time position is located in Englewood, CO. Daily Mass on site.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Event planning and logistics, including travel arrangements
Lead event promotion through social media, print, and targeted emails
Ensure smooth operations from planning to execution of community and school events
Operate within set budgetary limits
Serve as lead point of contact for vendors and volunteers
Develop the volunteer program: procedures, volunteer assignments, activities
Build community relationships
60%: Colorado event coordination
Responsible for pre-post event activities: creating event timeline, booking venues, social media posts, registration, securing volunteers and staff, facilitate planning meetings, event logistics, preparing supplies, attendee correspondence, set-up, and clean-up
Create and monitor event budget and expenses
Solicit vendors and ensure delivery of services
Troubleshoot problems pre-post event
Responsible for preparing tables with a donations system, bookstore items, marketing materials
Initiate post-event correspondence, accounts payable requests, and thank you notes
Maintain inventory of event supplies for President’s travel, promotional and bookstore products
Plan the Ignite Speaker Series, annual Summit, graduation, volunteer recognition events
Coordinate visiting speakers’ travel schedules and logistics
Create advertising materials with the Communications team
30% Volunteer Engagement
Conduct volunteer recruitment, interviews, and onboarding
Oversee, and build relationships with volunteers
Create the process for volunteer intake, program procedures, and management
Maintain volunteer database including tracking hours and activities
Create volunteer appreciation and communication activities
Identify opportunities to promote SJI via partnerships in the Denver Catholic community
10%: Other Duties and Responsibilities
Actively participate in team meetings, events
Externally represent SJI as needed
QUALIFICATIONS
Experience in project management: excellent meeting facilitation skills, well-organized, meet deliverables, develop and adjust timelines, adapt to change
Ability to clearly communicate to all levels of leadership, staff, and volunteers
Ability to quickly learn, be flexible, and multi-task in a fast changing environment
Ability to negotiate services with vendors and manage deliverables
Excel in customer-service and patience when serving others
Available to work flexible hours, evenings, and weekends
Must be able to lift 30 lbs., pull tables, push chairs etc.
Moral life according to the teachings of the Catholic Church
PREFERRED QUALIFICATIONS:
Education and Experience:
Bachelors degree and 1-2 years work experience in event planning. Certificate
in a related area: event planning, hospitality, etc. Experience using event
management software. Experience working in a non-profit environment.
