About This Role: Pairwise is looking for a Facilities and Operations Manager to support our growing and expanding facilities needs. We have a broad range of controlled environment, laboratory, and seed and plant handling facilities in RTP and state-of-the-art Laboratories in RTP and downtown Durham (Golden Belt area).  These facilities are required to consistently operate at a high level of functioning, precision, and reliability to promote and ensure the productivity and integrity of the company’s high value pipeline.


Essential Functions:

  • Collaborate closely with key facility users to proactively address issues, identify and prioritize projects and improvements, and communicate updates and solutions.
  • Develop and manage plans and budgets, and schedule facility operations, including estimating related costs. Implement and maintain monthly reporting for all financial tracking and related activities within the facilities department.
  • Oversee the coordination of building space allocation and layout, communication, and delivery of facility services in accordance with policies and procedures.
  • Oversee buildings maintenance including maintenance of HVAC systems, electrical system, plumbing, elevators, generator, access control systems, fire alarm and suppression systems, and lab/greenhouse systems.
  • Create and manage office policies and procedures, prioritizing and aligning culture, safety, security, sustainability, and wellness.
  • Manage the delivery of facility and office services including: facility management, security, food services, events, space management, office services and facilities related project management.
  • Manage vendor relationships, preventative maintenance agreements and supervision of vendors performing maintenance tasks. Help negotiate contracts and ensure contracts are adequately executed and terms are followed. Partner with IT to create seamless operations by coordinating vendors, installations, and cost-effective solutions.
  • This position is the primary contact during emergencies and security/fire calls and is a key member of the Safety Committee.
  • Active participant in the Business Continuity and Disaster Recovery Program to coordinate planning and preparation efforts with Management Team to ensure adequate facilities and infrastructure would be available in the event of a significant disruption.
  • Drive continued buildout of our office strategy, including forecasting space needs, understanding budgets, developing scenario analysis, and facilitating contracts.
  • Handle small repairs and maintenance that do not require a contractor.
  • Coordinate procurement of materials, equipment and services related to the operation of buildings. Negotiate the purchase of materials and supplies needed for buildings and grounds security, maintenance and additions / reconfigurations. Issue appropriate requisitions and purchase orders, and assure proper receiving, distribution and inventory accounting for such materials and supplies.
  • Partner with HR to assist with logistics for smooth on-boarding and off-boarding process to ensure a welcoming workspace environment.
  • Assist management as needed and perform other duties as assigned.
  • Coming onsite (minimum 3 days a week) and travel to other sites is required.

Required Education & Experience:

  • Minimum of 7-10+ years relevant work experience ideally with a combination of facilities, operations, and event management at a fast-growing organization
  • Proven ability to work closely and collaboratively with internal stakeholders and groups
  • Strong budgeting and forecasting skills, ability to negotiate lease contracts, and to identity risks or concerns in potential options
  • Strong project management skills with excellent attention to detail, great organizational skills, and solid judgment capabilities.
  • Familiarity with move and space planning management logistics and tools
  • Strong verbal and written communication skills, including ability to write department operational/maintenance SOP’s and communicate regular site updates
  • Ownership of safety onboarding tasks and training assignments
  • Familiarity with a CMMS environment
  • Experience with vendor management programs
  • ESH experience is highly desirable
