Asian Americans Advancing Justice-Atlanta is the first nonprofit legal advocacy organization dedicated to protecting the civil rights of Asian Americans, Native Hawaiian, Pacific Islander (AANHPI) and Arab, Middle Eastern, Muslim, and South Asian (AMEMSA) communities in Georgia and the Southeast. We envision a social movement in which communities of color are fully empowered, active in civic life, and working together to promote equity, fair treatment, and self determination for all. 

 

Founded in 2010 as the Asian American Legal Advocacy Center (AALAC), our organization became part of the Asian Americans Advancing Justice affiliation in 2014. Since then, we have re-organized our work into four major focus areas: Policy Advocacy, Organizing & Civic Engagement, Impact Litigation, and Legal Services.

 

About the Department

The Operations Department at Asian Americans Advancing Justice-Atlanta is a vital component of our organization, ensuring that all functional areas are supported with the resources they need to succeed. As a central hub, the department oversees planning, logistics, procurement, contract management, and the efficient execution of operations across the organization. The department not only supports the organization’s various strategic initiatives but also enhances our capacity to host impactful events and programs. These events and programs are vital for community engagement and advocacy, making the Operations Department critical to our mission of promoting equity, fair treatment, and self-determination for all. The department works closely with all teams to ensure that the organization's values are reflected in our daily operations and that we uphold the highest standards of integrity and professionalism in everything we do.

 

Position Summary:

Asian Americans Advancing Justice-Atlanta seeks a dynamic and organized Project Manager -  Events & Operations to join our Operations team. Reporting directly to the head of the Operations team, this pivotal role will oversee the planning, execution, and management of multiple organizational events, including our Annual Gala, SouthEATs fundraiser, Advocacy Day at the Capitol, among others. The Project Manager will also be instrumental in managing contracts, procurement processes, and the implementation of organizational initiatives to ensure that project deliverables, timelines, and budgets are met for initiatives and key work streams across the organization. This role is ideal for a dedicated and strategic thinker who thrives in dynamic settings and is passionate about making a difference through effective event management and operational excellence.

 

Responsibilities:

  • Event Planning and Management:

    • Lead the planning, coordination, and execution of major organizational events, ensuring each event is delivered on time, within budget, and at the desired level of quality.

    • Collaborate with different departments to define event goals, scope, and resources needed, including staff, volunteers, materials, and technology.

    • Develop and maintain detailed project plans for each event that outline tasks, timelines, venues, suppliers, staffing, and budgets.

    • Conduct post-event evaluations and report on outcomes to guide future events.

  • Contract and Procurement Oversight:

    • Manage the organization's contracts and procurement processes for events and operations, ensuring compliance with legal and organizational standards/policies.

    • Negotiate with vendors and service providers to secure cost-effective agreements.

    • Monitor contracts to ensure deliverables are being met and address any discrepancies or issues that arise.

    • Maintain a system for tracking expenditures and ensuring budget compliance for each project or event.

  • Operational Support and Improvement:

    • Assist leadership in operational strategy planning and implementation to improve overall efficiency and effectiveness.

    • Innovate and implement systems and processes that enhance event execution and operational workflows.

    • Provide leadership in setting up and breaking down event setups, ensuring all operational needs are met for each function.

  • Stakeholder Engagement:

    • Build and maintain relationships with key stakeholders, sponsors, and vendors.

    • Act as a liaison between the organization and external parties, ensuring clear communication and timely execution of joint responsibilities.

    • Engage with community members and leaders to ensure events reflect organizational values and community needs.

  • Team Leadership and Collaboration:

    • Help support and lead with a department staff and volunteers, fostering an environment of collaboration and growth.

    • Coordinate cross-functional teams within the organization to ensure effective communication and delegation of tasks during event planning and execution.

 

Qualifications:

  • Bachelor’s degree in related field.

  • 3+ years of proven experience in project management, event planning, or program administration. 

  • Proficient in project management software, tools, and management methodologies. 

  • Strong organizational, negotiation, and problem-solving skills.

  • Excellent verbal and written communication skills.

  • Ability to manage multiple projects independently in a fast-paced environment.
