Brief Overview:

We are seeking a Program Coordinator to provide a range of programmatic and administrative support for a capacity building assistance (CBA) project. This is an exciting opportunity to become part of a vibrant and growing public health organization and contribute to initiatives focused on reducing health disparities in Massachusetts.

Position Description:

HRiA seeks a Program Coordinator with a keen understanding of operational procedures and who can work collaboratively in a team-oriented, fast-paced, deadline-driven environment. They will provide programmatic and administrative support to assist program staff in developing, implementing, and managing several programs and projects.

Specifically, the Program Coordinator will support the MA COVID-19 Community Grants Program and associated team, which provides grants and CBA services to about 65 community -based organizations across the Commonwealth to reduce COVID-19 morbidity and mortality in communities experiencing the greatest inequities.

This is a full-time, non-exempt position with a salary range of upper 40k’s to low 50k’s, based on skills and experience. Currently HRiA’s Boston office is closed due to the COVID-19 pandemic, and all staff are working remotely (with the option for vaccinated staff to work in the office as desired). HRiA’s office will reopen in late 2021 or early 2022 in a “hybrid model,” enabling Boston-based HRiA employees the option to work remotely and/or in the office. Given the focus on local community organizations, MA residency is strongly preferred.

Duties and Responsibilities:

The Program Coordinator will provide a range of administrative and programmatic supports for the COVID-19 team, including but not limited to:

Project Work

  • Coordinate and maintain systems of internal communication and work coordination of team members, including but not limited to, scheduling, developing and disseminating meeting materials, notetaking, and follow-up support.
  • Coordinate, schedule, and support meetings and trainings and other technical assistance for grantees.
  • Help compile, write, and proofread summaries and regular reports to document project activities and accomplishments.
  • Develop, format, edit and/or proofread written project documents, email communications, and other materials and correspondence for meetings, trainings, conferences, and presentations.
  • Help monitor and document grantee progress and accomplishments and support overall program activities.
  • Prepare and distribute a range of grant documentation, including award and declination letters, grant agreements, check requests, and other materials.
  • Support accounts payable and receivable by creating invoices/check requests for payment/billing for vendors, and clients and tracking expenses and income.
  • Support team members in administrative and programmatic activities as requested.


  • Communicate effectively, efficiently, and appropriately with team members and team leads, and the HRiA supervisor.
  • Assist team members with tasks to address client, project, and/or team management needs.
  • Participate in team meetings, staff meetings, committees, and other workgroups.

Thought Leadership

  • Identify and suggest ideas to improve project activities and processes.
  • Assist with preparing and presenting reports and results.

Business Development

  • Support project management in securing continuation of project funding, as needed.
  • Gather and prepare documentation for proposals and/or contract extensions, as needed.

 Candidate Qualifications:

  • Associate’s degree or at least two years of equivalent experience in a professional office setting.
  • Fluent Spanish and/or Portuguese speaker strongly preferred.
  • A commitment to racial and health equity, and diversity of thought, backgrounds, and perspectives.
  • Keen curiosity about public health issues and ability to remain current on issues.
  • Strong organizational and time management skills, and ability to juggle many projects and tasks at once.
  • High level of professionalism and self-motivation, with a demonstrated ability to commit to and follow through on projects.
  • Strong written, verbal and interpersonal skills, including communicating by videoconference, phone, and/or in person (when needed) with community members and organizational partners.
  • Respond to project information requests by telephone and e-mail.
  • Able to work independently and as a part of a team.
  • Proficiency in Microsoft Office, especially Outlook, Excel, Word, Teams, OneNote and PowerPoint.
  • Proficiency in or capability of learning new software, including Zoom, Canva and Adobe Acrobat.
  • Experience working in diverse and multi-cultural settings preferred.
  • Experience in event planning, coordination, and logistical support.
  • Excellent problem solving, organizational, critical thinking, and interpersonal skills.
  • Resourceful self-starter with a proven ability to perform under tight deadlines.
  • Ability to work virtually with a strong and stable internet connection during the COVID-19 pandemic and beyond.
  • Flexibility and a sense of humor.

Typical work hours are Monday – Friday, 9:00am – 5:00pm EST. Additional evening and weekend hours are sometimes required to fulfill the duties of this position.
