The Field Marketing and Events Coordinator is a remote-first position that will play a crucial role in supporting the growth and development of Graham-Pelton's sales and marketing initiatives. This position is an excellent opportunity for a motivated early-career professional with an interest in non-profit consulting and a passion for helping organizations achieve their full potential. The Field Marketing and Events Coordinator will work collaboratively with sales and marketing to enhance our visibility and impact at conferences and company-sponsored events. They will also partner with internal stakeholders to plan and coordinate company meetings and firm-wide virtual gatherings. 

Responsibilities and Duties 
 
Conferences and Company-Sponsored Events:  

  • Serve as main point of contact for external industry conferences and company-sponsored events.  

  • Plan, coordinate, and execute conference participation, including registration, logistics, promotional material creation, and post-event follow-up. 

  • Leverage industry conferences to boost Graham-Pelton’s visibility, promote our offerings, and engage with potential clients. 

  • Develop and manage a calendar of relevant conferences and events, ensuring that Graham-Pelton's participation aligns with our strategic goals. 

  • Collaborate with colleagues to prepare presentations, speaking proposals, and other conference-related materials. 

  • Coordinate production of branded materials, including logos, printed materials, and collateral (giveaways, stickers, etc.). Maintain inventories and respond to requests for materials.  

  • Maintain and work within the allocated budget  

  • Create and maintain a calendar of sponsor communications in collaboration with internal team and external conference/event contacts 

  • Utilize data and analytics to measure the success of conference attendance and engagement and adjust strategies as needed, leveraging the Salesforce CRM

Company Meetings and Events:

  • Plan and organize on-site company meetings and events, ensuring they align with organizational goals, brand, and culture. 

  • Coordinate meeting logistics, including venue bookings, technology setup, travel, and catering arrangements. 

  • Assist in preparing meeting materials, such as agendas, presentations, and handouts. 

  • Assist in the planning and execution of creative and engaging virtual events for internal staff. 

Marketing Support: 

  • Assist in the development and execution of marketing campaigns to drive awareness and engagement around conferences. 

  • Participate in the design, production, and distribution of promotional materials. 

  • Provide administrative support to the sales and marketing teams as needed 

  • Other duties as assigned.

Qualifications:  

  • Bachelor's degree in marketing, business, communications, or a related field 

  • 1-2 years of experience in sales, marketing, event planning, or a related role 

  • Nonprofit or professional services experience a plus 

  • Strong written and verbal communication skills 

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM systems; Salesforce experience a plus 

  • Familiarity with social media platforms and digital marketing tools

  • Detail-oriented, organized, and able to multitask and prioritize tasks effectively 

  • Excellent problem-solving and analytical skills 

  • Team player with a positive attitude and willingness to learn and grow 

  • Willingness to travel up to 50%
