Job Description
edgefactory is seeking an experienced, passionate, creative, and dedicated Executive Administrative Assistant to support the Executive Leadership team with day-to-day operations, and the Finance Team with general accounting.  Additionally, this role would also serve as Office Manager and handle meeting coordination for all levels of management and executives.

 

Responsibilities INCLUDE BUT are not limited to

-       Provide day-to-day administrative support to Directors and Managers at our world headquarters located in Orlando, Florida, in addition to those working remotely

-       Managing calendar and appointments for all Executive and Leadership Team members

-       Providing general administrative assistance to the Executive and Leadership Team members

-       Supporting Operations Team with development, acquisition, and distribution of departmental communications, administrative guides, ordering supplies, updating contact lists

-       Maintaining records--electronic and physical files

-       Screening and routing phone calls in a polite and professional manner

-       Welcoming guests and visitors to the factory

-       Provide office support such as distributing mail, filing, photocopying, scanning and tracking documents, data entry, and word processing.

-       Perform administrative duties including, but not limited to, managing calendars, processing invoices and expense reports, organizing meetings and video conferences including scheduling, sending reminders and follow-up, and ordering catering when necessary

-       Provide lead planning support for company events including annual and quarterly meetings, end of year celebrations and gifting

-       Helping to input sales leads and opportunities into our CRM (Salesforce)

-       Helping to create estimates and proposals via our CRM (Salesforce)

-       Helping to manage Accounts Receivables including invoicing and collections reminders

-       Processing Accounts Receivables payments (Check or Credit Card)

-       Working a 40-hour workweek and overtime when required

QUALIFICATIONS

-       5+ years executive-level, administrative support experience preferred

-       Multi-tasking projects and priorities in a fast-paced team environment with minimal oversight

-       Advanced skill level in Microsoft Office: Excel, PowerPoint, SharePoint, Teams and Word

-       Basic knowledge in QuickBooks accounting software

-       Ability to handle confidential and sensitive information

-       Critical thinking in problem-solving

-       Represents the Company professionally to clients and partners at all levels of the organization

-       A self-starter-ability to take initiative and proactively problem solve

-       Ability to work with limited supervision

-       Strong organizational and follow-through skills

-       Proven experience in multi-tasking and working with multiple people and priorities

-       Demonstrated flexibility and professionalism in an environment where change is constant  

-       Detailed-oriented

PREFERED QUALIFICATIONS 

-       Knowledge of Salesforce CRM a plus

-       General knowledge and/or experience in the events industry 

EDUCATION 
High School degree or equivalent 

TIME COMMITMENT:  
30-40 hour per week commitment; Office hours 9:00am–6:00pm
