Invest in Our Future (IOF) is a philanthropic initiative and strategy hub focused on accelerating clean energy deployment and unlocking clean energy benefits for all Americans. IOF brings together the power of philanthropy and partner organizations to unleash the enormous economic potential of clean energy to create good jobs for American workers, generate new investment in American communities, and reduce the pollution that causes climate change. Through our large and diverse portfolio of grantees, we support work to expedite the siting and permitting of utility-scale projects; grow the market for community-serving, commercial-scale clean energy; expand the clean energy workforce and improve job quality; and build the durable public support needed for faster deployment. We coordinate and work closely with partners to align strategies and focus the field’s resources on the most pressing obstacles holding back the buildout of clean energy.

 

Position Overview

The Executive Assistant will provide administrative and scheduling support to the Executive Director and offer similar support to others on the senior leadership team and IOF staff as time allows. The ideal candidate will demonstrate a commitment to working in clean energy, climate, or related fields; possess extremely close attention to detail; and display an ability to think independently. They will be able to anticipate the Executive Director’s needs and, over time, make strategic scheduling and related decisions on their behalf. Previous experience supporting a senior-level executive is beneficial but not required for a candidate who can demonstrate their ability to work in this environment.

 

The Executive Assistant’s daily administrative duties include, but are not limited to, overseeing the Executive Director’s and organizational calendars; completing expense reports; drafting talking points and preparing correspondence; arranging detailed travel plans and itineraries; creating PowerPoint and Excel documents upon request; and preparing briefing materials for meetings and events by collecting and compiling information from relevant IOF staff. The Executive Assistant will also contribute to planning organization-wide convenings with other funders and stakeholders and manage projects led by the Executive Director.

 

The Executive Assistant position offers early-career candidates interested in clean energy or philanthropy an opportunity to gain important skills and learn from seasoned professionals in the field.

 

If based in Washington, DC, the Executive Assistant will act as on-site Office Manager for DC-based staff, ensuring meeting guests are welcomed, assisting in scheduling and planning of team meetings and other on-site events, and liaising with building personnel in partnership with IOF’s Director of Operations.

 

Pay Range: $90,600 - $106,400. This represents the present low and high end of IOF’s pay range for this position. Actual pay will vary based on various factors, including but not limited to experience. 

 

Duty Station and Work Schedule: Candidates will be considered for Remote or Hybrid Washington, DC duty stations. Washington, DC-based employees are on a hybrid work schedule. Current policy requires staff to be in the office on Wednesdays and Thursdays, and additionally, as necessary.

 

Principal Duties and Responsibilities

  • Maintaining the calendar and appointments of the Executive Director and shared IOF calendars with a high degree of accuracy and attention to detail. Over time, making strategic decisions about the Executive Director’s calendar and time. 
  • Working with staff to arrange conference calls and meetings, including the management of Zoom meetings with large numbers of external participants.
  • In collaboration with appropriate staff, develop briefing materials for the Executive Director’s meetings. Independently identifying and anticipating briefing needs ahead of time and ensuring adequate preparation time is given to relevant staff.
  • Assisting with coordinating internal and external meetings and convenings, both remote, hybrid, and in-person, with large groups of funders and other stakeholders.
  • Managing projects led by the Executive Director or other leadership team members.
  • Overseeing travel arrangements for the Executive Director and preparing expense reports in a timely manner.
  • Maintaining communication with the Executive Director and other team members to keep them informed of changes in a dynamic work environment.
  • Assisting in the development of agendas and meeting materials for meetings involving multiple staff members.
  • Drafting correspondence, presentations, talking points, and other written communications.
  • Providing thoughtful feedback to colleagues and acting on feedback received.

 

Education, Experience, and Skills

  • Generally expected to have 3 years of relevant experience with a demonstrated commitment to working in the climate, clean energy, or related fields. Experience supporting a senior-level executive is beneficial but not required.
  • Demonstrated commitment to professional development.
  • Embraces a culture of inclusivity, belonging, and diverse perspectives.
  • Communicates with a high degree of professionalism, accuracy, and speed with external partners, internal team members, and others when performing administrative duties.
  • Has professional experience supporting senior executive leaders.
  • Demonstrated track record of working successfully in a fast-paced environment with the ability to anticipate the needs of management and to act proactively.
  • Ability to exercise a high degree of discretion, confidentiality, and sound judgment.
  • Bachelor’s degree preferred.

Travel Requirements: This position may be required to travel up to 10% of the time.

Invest in Our Future is a fiscally sponsored project under RF Catalytic Capital, Inc. (“RFCC”). RFCC is a new 501(c)(3) public charity, launched by the Rockefeller Foundation in 2020, whose work is to develop, support, and/or apply innovative solutions to address the world's most intractable social and environmental problems impacting vulnerable people and communities. This position will begin at RFCC and may be transferred or assigned to Invest in Our Future. Such transfer or assignment, if at all, would in all aspects be subject to RFCC’s sole discretion.
