About Invest in Our Future

Invest in Our Future (IOF) is an innovative new philanthropic effort created to harness the power of historic new laws and vastly accelerate the country’s transition to a clean and equitable energy economy. IOF brings together the power of philanthropy and partner organizations to tackle the climate crisis in a way that bolsters America’s competitiveness in the 21st century. IOF will maintain a large and diverse portfolio of grantees, convene partners and stakeholders, provide technical assistance, and create a strategic hub that will pool and align major funding to ensure that the promise of the greatest investment in clean energy in U.S. history is realized.

 

Position Overview

The Executive Assistant will provide administrative and scheduling support to the Executive Director and team support as necessary to the rest of the staff. The ideal candidate will be dedicated to IOF’s mission, have extremely high attention to detail with the ability to operate in a fast-paced environment with minimal direction from senior leadership. They will be able to anticipate the ED’s needs and, over-time, make strategic scheduling and related decisions on their behalf. Previous experience supporting a senior-level executive is beneficial, but not required for a candidate who can demonstrate their ability to work in this environment.

 

The Executive Assistant’s daily administrative duties include but are not limited to overseeing the Executive Director’s and organizational calendars, completing expense reports, drafting talking points and preparing correspondence, arranging detailed travel plans, organizing itineraries, creating PowerPoint and Excel documents, and preparing briefing materials for meetings and events.

 

Washington, DC based candidates will be considered to act as on-site Office Manager for the organization, ensuring guests are cared for when meeting with IOF personnel, assisting in the preparation and organization of team meetings and other on-site events, and liaising with building personnel and partners.

 

 

Duty Station and Work Schedule

Candidates will be considered for Remote or Hybrid Washington, DC duty stations. Washington, DC based employees are on a hybrid work schedule. Current policy requires staff to be in the office on Wednesdays and Thursdays and additionally as necessary.

 

Principal Duties and Responsibilities

  • Maintaining the calendar and appointments of the Executive Director and shared calendars with a high degree of accuracy and attention to detail. Over time, making strategic decisions about the Executive Director’s calendar and time.
  • Working with staff to arrange conference calls and meetings, including the management of Zoom meetings with large numbers of external participants
  • In collaboration with appropriate staff, developing briefing materials for meetings. Independently identifying and anticipating briefing needs ahead of time and ensuring adequate preparation time is given to relevant staff when the Executive Assistant needs help with programmatic details. Assisting with coordinating internal and external meetings and convenings, both remote, hybrid, and in-person.
  • Overseeing travel arrangements and preparing expense reports in a timely manner.
  • Assisting in the development of agendas and meeting materials for meetings involving multiple staff members.
  • Maintaining communication with the Executive Director and other team members to keep them informed of changes in a dynamic work environment. Proactive communication about and anticipation of potential issues and disruptions to the Executive Director’s schedule with particular attention to issues affecting multiple staff members or external partners.
  • Drafting correspondence, presentations, talking points, and other written communications.
  • Providing thoughtful feedback to colleagues and acting on feedback received.

 

Education, Experience, and Skills

  • Generally expected to have 2-3 years of relevant experience, with a demonstrated commitment to working in the climate, clean energy, or related fields. Demonstrated knowledge of and/or ability to write in these contexts is a plus.
  • Demonstrated commitment to professional development.
  • Embraces a culture of inclusivity, belonging, and diverse perspectives.
  • Communicates with a high degree of professionalism, accuracy, and speed with external partners, internal team members, and others when performing administrative duties.
  • Possesses wide-ranging professional experience supporting senior executive leaders.
  • Demonstrated track record of working successfully in a fast-paced environment with the ability to anticipate the needs of management and to act proactively.
  • Ability to exercise a high degree of discretion, confidentiality, and sound judgment.
  • Bachelor’s degree preferred.

Travel Requirements

This position may be required to travel up to 10% of the time.

Invest in Our Future is a fiscally sponsored project under RF Catalytic Capital, Inc. (“RFCC”). RFCC is a new 501(c)(3) public charity, launched by the Rockefeller Foundation in 2020, whose work is to develop, support, and/or apply innovative solutions to address the world's most intractable social and environmental problems impacting vulnerable people and communities. This position will begin at RFCC and may be transferred or assigned to Invest in Our Future. Such transfer or assignment, if at all, would in all aspects be subject to RFCC’s sole discretion.
