Position Summary:

The HR Coordinator will assist our growing organization with the administration of day-to-day operations of the human resources functions. The ideal candidate will be a highly organized, driven self-starter that is detail-oriented and exudes a passion for continuous improvement. The candidate must have great interpersonal skills and be able to work collaboratively and thrive in a dynamic, fast-paced, deadline-driven environment. The HR Coordinator helps with the tactical duties required to successfully implement HR services, policies and programs.

 

Essential Duties & Responsibilities:

  • Assists the Talent Acquisition Manager/HR team with scheduling interviews.  To include, coordinating with managers and candidates, booking conference rooms, scheduling zoom interviews, building security clearance for candidates, greeting candidates.

  • Assists Talent Acquisition Manager with posting of open positions on our applicant tracking system and job boards, internal and external communications.

  • Assists with reviewing resumes and informational interviews, when needed.

  •  In collaboration with the HR Team, will maintain, monitor, and update Human Resources forms, compliance and system information to ensure data is organized and handled in a timely matter.

  • Works closely with the HR, Operations, IT, Finance and Legal (Operations staff) to help ensure the employee onboarding process is seamless and as effective as possible.  To include new hire announcements, onboarding welcome notes and packages, performance management accounts, publications, desk setup, etc.

  • Assists HR Director with new hire orientation scheduling (both in and outside of the NYC HQ).

  • Assists with the collection and tracking of performance reviews (goal setting, 90-day reviews, Mid-Year reviews, End-Year reviews).

  • Helps manage guest reception, to include, greeting guests, alerting meeting hosts and monitoring the main phone line.

  • Under the guidance of the HR Director, oversees and manages the Excel Internship Program, including role postings, recruiting support and internal support.

  • Coordinates and collaborates efforts and initiatives with the Task Force to continuously support and develop the Excel Fellowship Program.

  • Compliance tracking to include employee handbook, anti-harassment, new hire vaccination and mandatory training.

  •  Assists with the performance management system when necessary.

  •  In collaboration with HR team, will prepare submission for weekly internal reports.

  •  Co-manage HR inbox.

  •  Helps to manage HR related invoicing.

  •  Helps coordinate office social events and gatherings in collaboration with Operations.

  •  Assists in COVID-19 related compliance and policies while applicable.  To include, compliance tracking for employees and guests when necessary.

  • All other duties as assigned.

 

Education & Experience:

  •  Bachelor’s Degree required

  • Degree in business, human resources or related field

  • Keen interest in the HR function

  • Experience managing large projects and event-based logistics

  • Must have well-developed interpersonal skills and a positive attitude;

  • Must be results and bottom-line oriented yet will possess sensitivity towards people and values;

  • Must have exceptional time-management skills and be able to execute tasks and responsibilities in an ever-changing environment;

  •  Must be able to operate with discretion and confidentiality;

  •  Must be a flexible and reliable team player internally and externally;

  •  Must be able to think creatively and innovatively.
