The Role: 

·         THE WELL is seeking an Executive Assistant who is excited to be part of a fast paced, start-up environment. The assignment straddles administrative work in the areas of marketing, finance and operations.

The Opportunity

·         Administrative support to THE WELL principals including calendar management, conference room booking, contact management and material and agenda preparation prior to meetings;

·         Liaise with 3rd party vendors such as accountants, lawyers and creative agencies as needed;

·         Support with month-end and year-end reporting;

·         Assist in organization of shared files in Dropbox; upload attachments sent via email and organize them in our records, both internally and with 3rd party vendors;

·         Assist in training of interns and freelancers as needed;

·         Update investor, marketing and partnership decks and create new pages as needed

·         Ability to keep busy executives on track professionally and personally – time management and keeping team alert of deadlines, approaching meetings, phone calls etc.;

·         Office Manager duties such as ordering groceries, snacks, office supplies and keeping the office organized;

·         Greeting guests when they arrive, setting them up with water and alerting team of their arrival;

·         Plan and execute regular team off-sites and team social events;

·         Manage orders and payments for external service and product vendors – primarily using Negotiations;

·         Regularly interact with external and internal stakeholders;

·         Manage phone and messages according to each executives’ preference;

·         Handle office / principals’ Google calendars which involves frequent adjustments and updates throughout the day, scheduling & confirming of all internal & external meetings and conference calls;

·         Handle timely submission & tracking of expenses on each executives’ personal/corporate card with Accounts Payable;

·         Manage lunch and coffee requests as requested, or when schedule requires;

·         Manage hello@the-well.com email account filtering inquiries and sending to the appropriate team members;

·         Work with Chief Creative Officer and Operations team to execute company events and Press events;

·         Provide project management assistance to the Marketing team;

·         Work with PR team to coordinate Press Tours for principals

Requirements

• Excellent written and verbal communication skills

• Experience with an administrative support role; executive-level support a plus

• Excellent organizational skills and an innate ability to self-start projects and tasks

• Thorough knowledge of Microsoft Office suite, Dropbox and Adobe Pro software
