Job responsibilities:

  • Ensure the smooth day-to-day operation of the office
  • Develop office policies and procedures, and ensure they are implemented appropriately
  • Coordinate logistics of both internal and external meetings
  • Arrange and coordinate domestic and international travels
  • Process expense claims for team members according to company guidelines
  • Assist with staff onboarding and off boarding which includes requesting equipment setup and system access
  • Assist in editing spreadsheets and presentations including printing and binding for customer and investor meetings
  • Track office/lab inventory, including ordering supplies, coordinating deliveries, and managing vendor contracts
  • Set up, track, and update engineering projects in the company’s project management system
  • Prepare, pack, and ship packages as well as collate and deliver company mails
  • Collaborate with external accountant for handling various correspondences on accounting/payroll/tax issues
  • Support IT infrastructure by utilizing external IT service provider as needed


This position requires:

  • Prior experience in a support, operations and/or administrative role requiring a high degree of teamwork.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Good judgment in confidential situations and safekeeping of confidential information.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
  • Proficient knowledge of Microsoft Office Outlook, Word, Excel, PowerPoint, and OneNote, Access
  • At least 2 years of experience in a related position
  • College degree preferred
