Launched in 2014, ImpactTulsa serves as a collective impact backbone organization that aligns partners and resources to improve educational outcomes for students in the Tulsa area. The partnership includes leaders from education, business, philanthropy, nonprofit, civic, and faith communities with a vision that all students are guaranteed a high-quality education. ImpactTulsa is a 501(c)3 and a member of the StriveTogether national network. Its 20 school district partners represent over 100,000 students in the Tulsa region. Working with its cross-sector partners, ImpactTulsa provides actionable data insights and measures student outcomes to shift policies, practices, resources, and power so 100,491 youth are on a path to economic mobility by 2030.

Mission

ImpactTulsa is a collective impact organization that turns data into systemic change by convening community sectors, through the shared vision, that all children in Tulsa receive every opportunity to succeed, from cradle to career.

 

About the Role

This position requires a proactive and experienced leader with exceptional management, organizational, and communication skills. Reporting to the Head of Finance and Operations, the Manager, Operations oversees the range of operational processes—from project and vendor management and budget tracking to internal office systems and event logistics. In addition, the position coordinates or supports compliance efforts and key initiatives across the organization, ensuring that our infrastructure reflects our core values.

Primary Responsibilities

Operations (50%)

  • Collaborate across departments to coordinate day-to-day operations, ensuring smooth workflows, effective resource use, and alignment to strategic outcomes
  • Develop and refine internal processes and policies to improve clarity, efficiency, and team experience
  • Manage logistical elements for team gatherings, partner meetings, and community events—anticipating needs and ensuring operational readiness
  • Develop and organize internal materials, ensuring consistent access and up-to-date versions across shared platforms
  • Serve as the technical administrator for internal planning and project management tools, creating and updating templates, dashboards, and documentation to support organizational planning and reporting

Finance and Development (30%)

  • Manage departmental budgets and oversee expense tracking, invoice management, and procurement processes.
  • Generate reports to support internal budget reviews and cross-team decision-making
  • Collaborate with the Executive Director to produce development reports that inform fundraising efforts, including donation tracking and impact summaries
  • Maintain up-to-date records and documentation for vendor contracts and financial processes, ensuring compliance and accessibility

Human Resources (20%)

  • Support the implementation of staff engagement activities, coordinating logistics and ensuring details are handled so events run smoothly and reflect organizational values
  • Maintain and update workforce compliance documentation, including background checks, onboarding materials, and policy acknowledgments
  • Serve as a go-to contact for staff operational needs (e.g., supplies, tech access, shared tools), providing timely and thoughtful support that reflects a high level of internal customer service
  • Maintain shared calendars, internal resource libraries, and space reservations to ensure smooth hybrid operations and clear communication
  • Partner with team leads and Heads of departments to support internal culture-building practices, drawing insights from staff feedback and helping monitor engagement across the year

Education, Training, and Experience 

  • Bachelor’s degree or higher, or equivalent experience, in business management, business administration, organizational development, finance, or related field
  • 5+ years of demonstrated experience applying aligned skills to some or all: strategic planning, project management, finance and accounting, or business operations. Relevant work in education or nonprofits is a bonus
  • Certifications in Finance, HR, Asana, Google, Slack or financial software are a bonus
  • Project management certifications are a bonus. Proficient and demonstrated skills and practices are required

Proficient use of technical tools is expected for all roles. ImpactTulsa’s tech stack includes:

Physical Requirements 

This role involves a mix of desk-based work, movement within office spaces or partner sites, and occasional light lifting (up to 25 pounds). Team members typically engage in tasks such as typing, reading from screens, participating in meetings, and communicating with colleagues and partners. Work can be completed seated, standing, or using mobility supports. 

The position requires full proficiency in the English language, including speaking, listening, reading, and writing/typing.

Transferable Experience

The Manager, Operations role relies on a versatile skill set that translates across many industries and organizational types. The position requires a strong operational generalist—someone who can navigate business operations, financial systems, and organizational infrastructure with confidence and agility.

We welcome candidates with experience in a variety of sectors, including education, nonprofit, government, insurance, and manufacturing. Candidates who have held roles that required strategic coordination, attention to detail, and cross-functional collaboration are likely to be a strong fit.

Work Environment

ImpactTulsa’s standard work week is Monday through Friday, and in limited cases, may be required to attend events in the evenings and weekends. 

 

In a typical week, the Manager, Operations will likely:

  • Meet with team members who need operations planning support; virtual or in-person meetings to discuss key details for events organized by ImpactTulsa. Action items might include generating a project budget, securing a venue, coordinating vendors, and purchasing food or supplies. These activities will occupy approximately 50% of the week.
  • Focus work to advance mid- and long-term project plans. These operations-led projects advance internal organizational outcomes and would include creating and updating project artifacts, meetings, and reports. Special projects take about 5-10% of each week.
  • Dedicate approximately 30% of the week to financial activities. Depending on timing, these include recording and tracking financial data, updating departmental or project budgets, providing the Executive Director with grant data and report outputs.
  • Coordinate, plan and communicate activities related to staff engagement and organizational compliance. These activities include engaging with ImpactTulsa’s professional employer organization (PEO), leadership team, and staff to build a calendar of robust activities, engagement, and education. Expect to spend 10-15% of time each week on staff engagement and organizational compliance.

Travel Expectations

Local Travel: The Tulsa Metro area defines our local footprint.. Local travel would take place across this area and occur a few times a month, typically.  

 

Work Hours

ImpactTulsa operates Monday through Friday, 8:00 a.m. to 4:00 p.m., with flexibility built in for lunch breaks and scheduled appointments. For example, a typical schedule might be 8:00 a.m.–12:00 p.m., lunch from 12:00–1:00 p.m., and work until 5:00 p.m.

This is a hybrid role—not fully remote. You must reside in Tulsa, OK to fulfill this role. While staff may work off-site a few days a week, in-person meetings and site visits are common throughout the week depending on team rhythms, partner needs, and events. All staff are expected to be in the office on Tuesdays for collaboration, community building, and team meetings. Our office is located in downtown Tulsa’s Sun Building and operates with a coworking-style reservation system to ensure visibility and shared space access.

Supervision

The role of Manager, Operations does not include supervision of staff.

COMPENSATION AND BENEFITS

The Manager, Operations is a full-time, exempt position. The salary for this position is $61,000 annually and is non-negotiable. This supports our commitment to pay equity by ensuring all candidates are considered equally and fairly, without disparities caused by negotiation.
