POSITION PURPOSE

The successful candidate will be responsible for managing and analyzing project billing, reporting, and providing insights into the overall financial and operational performance of various projects. This role will require an in-depth understanding of project management processes, cost control, and data analysis to ensure projects are billed timely and accurately.
Perform job functions in accordance with all applicable Standard Operating Procedures (SOP), federal and state laws, Occupational Safety and Health Administration (OSHA) guidelines, health authority regulations, and departmental processes.

- Project Billing Management:
- Oversee the preparation, tracking, and reconciliation of project billing.
- Ensure timely and accurate invoicing for ongoing and completed projects.
- Work closely with project management team to ensure proper allocation and tracking of costs.
- Review contracts and project agreements to ensure proper billing procedures are followed.
- Monitor project expenses and compare them to the approved budget to identify any discrepancies or areas of concern.
- Project Reporting & Analysis:
- Create regular project status reports for stakeholders, highlighting key performance indicators (KPIs), milestones, and financial performance.
- Analyze project performance, cost trends, and resource utilization to provide actionable insights for project improvement.
- Assist in the preparation of project forecasts, including budget projections and timelines.
- Develop and maintain tracking tools, dashboards, and project timelines for effective reporting and analysis.
- Collaboration & Communication:
- Collaborate with project managers and other departments to gather data and ensure alignment across teams.
- Communicate effectively with both internal and external stakeholders to resolve issues related to billing, costs, and project deliverables.
- Assist project managers in identifying and mitigating risks that could impact project timelines or financial performance.
- Process Improvement & Efficiency:
- Continuously evaluate and improve existing processes for project billing and reporting.
- Identify and recommend best practices for financial management and reporting to ensure projects are delivered efficiently.
- Support the development of new processes, systems, and tools to streamline project financial tracking and analysis.
- Perform other duties as assigned.
QUALIFICATIONS
The qualifications listed below are representative of the minimum knowledge, skill, and/or ability required.
KNOWLEDGE
Must possess strong understanding of project management principles and financial tracking processes. Must adhere to Company and Department policies and procedures as well as government regulations. An understanding of Standard Operating Procedures (SOPs), Food and Drug Administration (FDA) regulations and Current Good Manufacturing Practices (cGMPs) is preferred.
SKILLS AND ABILITIES
Must possess a high energy level and the ability to perform multifaceted projects in conjunction with day-to-day activities. Requires the ability to maintain a positive attitude and to balance business, legal, and personnel considerations. Must possess effective communication, negotiation, critical evaluation and problem-solving skills. Must be able to demonstrate the ability to provide objective perspectives and exercise sound judgment and discretion in handling confidential information and situations. Must be able to build and maintain productive interpersonal relationships in the work environment. Must possess computer skills with proficiency in Microsoft Office and Outlook.

Position functions autonomously.
EDUCATION/EXPERIENCE
Must have bachelor’s degree in Business Administration, Finance, Project Management, or related field and 3 years of experience in project analysis, project management, or finance. However, a combination of experience and/or education will be taken into consideration.

Ability to read and interpret complex business and/or technical documents. Ability to write comprehensive reports and detailed
business correspondence. Ability to work with managers or directors and communicate ambiguous concepts. Ability to present to groups across the organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to perform computations such as percentages, ratios, rates. Ability to create and interpret graphs.
REASONING ABILITY
Ability to solve problems with a variety of concrete variables through semi-standardized solutions that require some ingenuity and analysis. Ability to draw inferences and follow prescribed and detailed procedures to solve moderately complex problems.
