Position Summary:

The Executive Assistant is a tech savvy and efficient person who will provide executive administrative support for the CEO, CFO and General Counsel and handle a variety of miscellaneous tasks that keep the office running. The candidate must be comfortable with a broad spectrum of responsibilities from communicating with Board members and customers to pitching in with any task that needs being done. The role is based at the 908 Headquarters in Boston, MA.

Essential Responsibilities:

  • Maintain discrete and confidential coordination of sensitive company information.
  • Establish and maintain strong communication links with business leadership, internal and external customers, and colleagues.
  • Generate letters, reports, meeting minutes, memorandum, general correspondence, personnel actions, and other documents, as assigned.
  • Create high quality, creative graphic PowerPoint presentations, assist with preparation of charts and materials for Board and Executive leadership.
  • Plan, schedule, and arrange daily appointments, business meetings, and travel itineraries; proactively coordinate calendar.
  • Direct inquiries and correspondence to appropriate individuals.
  • Prepare and reconcile expense accounts for specific members of the executive team.
  • Organize/maintain an efficient filing system for correspondence records, reference data, reports, and sensitive documents.
  • Coordinate with IT to ensure proper support for large meetings.
  • Assist and support HQ projects and initiatives.

Qualifications/Requirements:

Bachelor’s Degree with a minimum of 4 years of experience supporting a Senior Level leadership team or a High School Diploma / GED with a minimum of 6 years of experience supporting a Senior Level leadership team.
