Job Description – Submissions Coordinator

Summary Objective

The Submissions Coordinator is responsible for assisting the Project Managers in the day to day management of submissions and submittal logs for multiple projects. The position is fully responsible for ensuring timeliness and quality of submissions and presentation to clients. This position supports projects from project initiation through project closure.

Qualifications

·        Experience required - minimum of 3 yrs. experience in a related position/field

  • Must have the ability to conceptually budget, meet deadlines, handle various projects simultaneously and work effectively in a busy, team-oriented environment

 

  • Experience with construction drawings, specifications, architectural sketches and other related construction documents is preferred

·        Good client management and strong relationship building skills

 

·        Strong time management and logical decision-making ability

 

·        Excellent computer skills (MS Office/Excel/Outlook/Adobe Acrobat Pro) and math skills

 

·        Well-developed time scheduling and organizational skills

 

·        Excellent written and oral communication skills

 

·        Previous experience in a construction related company is a plus

 

·        Previous experience with construction estimating take-off software is preferred

 

·        Bachelor's degree in a related field required

 

Job Responsibilities (essential functions)

·        Prepare submittal packages for client approval in a timely manner

  • Review and process returned submittals

 

  • Prepare submittal logs for review by project managers

 

  • Follow up on open submissions to ensure timely return

·        Liaison with Estimators, Cost Control Estimators and Project Managers to ensure full understanding of new and ongoing projects

 

·        Review bid packages, drawings and manufacturer’s rep quotes to ensure accuracy

 

·        Communicate with manufacturers and manufacturer’s rep to understand what components are needed for fixtures to be fully functional

 

·        Attend trade shows to develop relationships with manufacturers, manufacturer’s rep and clients

 

·        Ensure critical deadlines are met and the work is completed in a timely, complete and high-quality manner

 

·        Respond to customer inquiries, as necessary, and ensure timely follow up on all customer issues

 

·        Other responsibilities as assigned
