About the Role

The Executive Assistant (EA) will provide high-level administrative and operational support to the Executive Director, ensuring smooth day-to-day performance and scheduling and maximizing efficiency of the role and its engagement with all stakeholders. The role will also support collaboration between the Executive Director and all departments and support the functioning of the Executive Team, Management Team, and Board of Directors in their meetings and other day to day activities. The EA will plan and complete Board, executive, and organizational projects as directed and offer other aspects of support as needed. 

What You’ll Do

Administrative & Executive Support

  • Manage and maintain the Executive Director calendar, scheduling all meetings, appointments, and travel 

  • Prepare meeting agendas, take minutes, and track follow-up actions

  • Draft, proofread, and edit correspondence, reports, presentations, and other materials

  • Assist with inbox and communication management, occasionally responding to or flagging important emails or supporting timely communication with stakeholders

  • Support key organizational projects by building project plans, tracking deadlines, completing action steps, and assisting with logistics

  • Assist with fundraising and donor engagement efforts as needed

  • Conduct research, compile data, and organize information for reports, presentations, or strategic initiatives

Stakeholder & Team Coordination

  • Manage the Board recruitment process and support communications between members and candidates for the Board

  • Serve as the coordinator for the Senior Executive Team, Management Team, and Program Leadership by scheduling meetings, managing agendas, and preparing/compiling materials for the meetings

  • Coordinate and organize board meetings, including scheduling, preparing materials, catering and other and logistics

  • Provide logistical support for events, fundraisers, and speaking engagements

  • Calendar & Schedule Management: Ability to manage complex schedules for executives, including scheduling meetings, coordinating travel, & preparing reports.

  • Confidential Information Management: Experience with document management & maintaining confidential & sensitive information with discretion & professionalism

  • Project Management: Plan, document, and complete complex projects on behalf of executive management or board of directors

  • Professional Communication & Interpersonal Skills: Excellent written & verbal skills are required to interact with staff, board members, donors, & community partners; Ability to build rapport with diverse groups of individuals

  • Time Management & Prioritization: Strong skills in organizing tasks, managing multiple projects, and meeting deadlines in a busy environment

  • Problem Solving: A proactive & solution-oriented mindset to handle challenges & make good judgements

  • Teamwork: A collaborative spirit & willingness to support across departments and contribute to the overall mission

Required Qualifications:

  • Minimum of 2 years of experience providing executive support

  • Commitment to the mission and values of LEAP

  • Strong organizational skills, attention to detail, and ability to manage multiple priorities

  • Excellent verbal and written communication skills

  • Proficiency in Google Suite, SalesForce, and project management, presentation, and communication tools (e.g., Asana, Slack, Zoom, Canva)

  • Ability to work independently and proactively to anticipate needs as well as to adapt to changing priorities
