Job Description: Office Manager


Hound Labs is seeking a dynamic Office Manager who is comfortable wearing many hats. You will be experienced in a wide range of administrative, executive support, and human resources tasks that require a strong work ethic and love of working in a cross-functional position. The Office Manager will report to the Chief of Staff and will be responsible for creating and maintaining a productive work environment and will be the primary point of contact for all visitors, vendors, and guests.

RESPONSIBILITIES

·       Managing the day-to-day office operations

·       Screening incoming phone calls; includes responding to inquiries and redirecting as appropriate

·       Organizing and maintaining an up-to-date paper and digital filing system

·       Coordinating communications between Executives and external clients as well as internal staff

·       Completing expense reports and reimbursement requests

·       Data entry

·       Catering planning & ordering

·       Office supply inventory, ordering, and stocking

·       Preparing correspondence, presentation materials, communications, and reports

·       Creating and maintaining files of key documents

·       Oversee human resources operations including recruiting, payroll, benefits administration, compliance, and employee onboarding and offboarding

·       Managing employee access to shared directories and ensuring technology requests are fulfilled accurately

·       Navigating the company's internal resources to obtain services and resolve issues in a timely manner

·       Assisting in the planning and scheduling of team events, training & learning sessions, and business meetings

 

REQUIREMENTS

·       Associate or bachelor’s degree with 3+ years of office management experience or relevant administrative experience

·       Exceptional written, verbal, and interpersonal communication skills

·       Excellent proactive planning skills

·       Knowledge of computer programs, Google Docs, and Microsoft Office Suite

·       Acute attention to accuracy and detail in all aspects of responsibilities

·       Ability to lift and move up to 25 pounds
