Position Summary

The project coordinator shall be responsible for entering complete bills of material into the SAP system for project managers in time to meet production release requirements. With extended service, demonstrated proficiency in communication skills, and proficiency within utilized systems there may be opportunity to advance into project management.

Essential Functions

  • Review submitted bills of material for completeness and accuracy against order documents.
  • Entered bills of material into SAP system for production.
  • Schedule and communicate entry timelines with project management team.
  • Ensure supporting release documentation is ready.
  • Review SAP entries from other team members for accuracy.
  • Notify project manager of any special buyout items that require advance purchase.
  • Keep OMS system up to date on current progress of all assigned tasks.
  • Update the schedule regularly and communicate project changes to all departments.
  • Keep project file updated as directed by project manager.
  • Provide customer support with SAP entries on material and credits for warranty claims.
  • Keep the Warranty Log updated with customer complaints.
  • Complete training by supervisor.
  • Comply with all company and department policies and procedures.
  • Comply with all safety policies and procedures.
  • Perform other duties as assigned.

 

Knowledge, Skills, and Abilities

  • Demonstrates a high level of verbal and written communication skills is a must.
  • The ability to work in a fast-paced environment and manage multiple priorities.
  • Experience with bills of material is preferred.
  • Proficient in Project Management software and financial accounting systems.
  • Strong Personal Computer working capabilities in MS Office (Excel, Word, PowerPoint, Adobe Writer, Visio, and basic Windows environment).

Education and Experience

  • High school diploma or equivalent.
  • Strong customer service skills, including conflict resolution and consistent follow through.
  • Excellent verbal and written communication skills.
  • Ability to effectively establish and maintain positive relationships.
  • Solid organizational skills including attention to detail and multi-tasking skills.
  • Intermediate skill level in Microsoft Office (Excel, Word, Outlook primarily).
  • Experience with order entry programs and software preferred, but not required.

Physical Requirements

  • Ability to work the core hours of 8am-5pm Monday through Friday with ability to work overtime and weekends as needed.
  • Ability to sit for extended periods. Must be able to twist, reach, grasp, and other physical movements.
  • Ability to regularly work in conditions typical of an office environment, and occasionally work in conditions typical of a manufacturing environment, including noise, extreme temperatures and humidity, odors, dust, etc.
  • Ability to wear prescribed personal protective equipment and appropriate clothing.
  • Ability to read, write, and verbally communicate fluently in English.
  • Ability to effectively use a telephone, computer, monitor, keyboard, mouse, and common office equipment and machinery.
  • Ability to interact effectively with clients, contractors, employees, and other individuals, and must possess professional phone etiquette.
  • Ability to function effectively with moderate to high levels of stress in a demanding and dynamic environment.
  • Must be able to concentrate for extended periods of time and consistently produce accurate work products, organized thoughts, and execute sound judgment.
  • Must be reliable and dependable.
  • Ability to lift 25 lbs.

 

Working Environment

While performing the duties of this job, the employee is regularly exposed to work near moving mechanical parts, dusty conditions, high noise environments, chemicals used in the process, and extreme temperatures. The facility is an industrial manufacturing plant. This position is designated safety sensitive.
