Qualifications

  • The ideal candidate thrives in a fast-paced, high-intensity environment, and is comfortable context switching frequently
  • Experience in similar roles at high-growth, small business is a requirement
  • 5-10 years of experience in an Executive Assistant role
  • 5+ years supporting a CEO or Senior Executive

Responsibilities

  • This position requires attention to detail, strong communication, and enthusiasm for quality work
  • The EA will manage the CEO’s inbox, calendar, and travel, as well as assist with event planning
  • The EA will serve as a trusted liaison between the CEO and both internal and external stakeholders
  • A high level of confidentiality, professionalism, and good judgment is essential for this role

Inbox Management:

  • Triage and organize emails in a timely manner
  • Flag urgent items to the CEO and relevant parties
  • Draft emails on behalf of the CEO

Task Management:

  • Be the main contact for all tasks that come through the CEO’s inbox/slack, ensuring that nothing falls through the cracks
  • Triage non-urgent items but ensure every item is appropriately addressed
  • Ensure no key action items are missed and prioritize tasks based on urgency and context

Calendar Management:

  • Proactively manage the CEO’s calendar, resolving scheduling conflicts well in advance
  • Keep the calendar constantly updated, avoiding last-minute changes and ensuring there are no overlapping appointments
  • Maximize calendar efficiency by filling open time slots when meetings move or are canceled

Travel Coordination:

  • Handle all aspects of the CEO’s travel, including booking flights, hotels, and rental cars well ahead of time
  • Ensure smooth travel logistics and confirmations for both business and personal trips
  • Create itineraries for each trip, thinking through the hourly schedule while on the road

Stakeholder Liaison:

  • Serve as a point of contact and trusted liaison between the CEO and internal/external stakeholders
  • Manage the flow of information and ensure seamless communication between the CEO and other departments
