About the Role
The Office Manager is a critical member of the Besa team, helping to power the systems, processes, and day-to-day operations that keep our work moving forward. In this role, you’ll work closely with staff across the organization to ensure seamless administrative support, smooth onboarding and offboarding experiences, and reliable IT coordination. You’ll take the lead on maintaining internal systems, supporting team workflows, and troubleshooting the behind-the-scenes details that make a big difference in our ability to deliver impact. This role is ideal for someone who enjoys helping a business run smoothly, takes pride in the details, and wants to play a hands-on role in strengthening Besa’s internal culture and infrastructure.
Primary Responsibilities
Team & Culture Support

Coordinate logistics for internal meetings and events—including all-hands meetings, board meetings, retreats, and team gatherings (e.g., catering, RSVP tracking, agendas, room setup).

Support culture-building efforts, such as employee recognition, wellness initiatives, and staff surveys.

Assist with hiring logistics and onboarding touchpoints, ensuring new team members feel welcomed and supported.

Help create, organize, and maintain internal documentation, tools, and processes to strengthen team communication and efficiency.
Office & Administrative Management

Manage the company calendar and support scheduling for key meetings and events.

Oversee shared spaces (storage, kitchen, plants), supplies (snacks, mail, equipment), and general office upkeep.

Monitor general inboxes and voicemail, ensuring timely and appropriate follow-up.

Coordinate internal communications and calendar invites for holidays, gatherings, and company-wide events.
Coordination & Management

Manage onboarding and offboarding logistics related to technology and access, including laptops, accounts, and passwords.

Support team members during onboarding with platform navigation, tech setup, and 1:1 scheduling.

Maintain digital documents organization and permissions.

Undertake additional duties as assigned, contributing flexibly to the dynamic needs of the organization and furthering the overall mission of Besa.
Our Ideal Candidate

3–5 years of experience in office administration, operations, or a related support role.

Strong organizational skills and can manage multiple priorities and deadlines with ease.

Communicates clearly and professionally, both in writing and in person, and is comfortable coordinating across teams.

Proficient with Google Workspace, Slack, and Monday.com, brings confidence and experience in managing everyday IT support, including laptop setup and troubleshooting common tech issues.

Approaches their work with care, follow-through, and a proactive mindset—someone who sees what needs to be done and takes initiative.

Has experience maintaining internal systems, managing logistics, and improving day-to-day workflows.
